Job summary

IBEX Shaw is seeking an HVAC Install Coordinator to bridge Sales, Purchasing, Warehouse, Installation and customers. This on-site role supports US HVAC projects based in Virginia by coordinating resources and ensuring installation readiness.

You will manage installation packets, materials, permits, schedules, and job costing within ServiceTitan, while communicating proactively to keep projects on track and customers satisfied.

Qualifications

• 3+ years in US HVAC industry preferred.
• Knowledge of residential HVAC systems and installation processes.
• Familiarity with ServiceTitan or similar field service software.
• Strong organizational and communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Attention to detail and accountability.

Responsibilities

• Build complete and accurate installation job packets.
• Order materials and equipment for installation projects.
• Verify equipment on arrival and staging.
• Coordinate schedules, manpower, equipment, and materials with Install Managers and Sales Teams.
• Secure permits and ensure compliance with local codes.
• Create invoices, job costing, and project documentation in ServiceTitan.
• Maintain proactive communication with customers and internal teams.
• Identify and resolve scheduling or material challenges before they impact customers.
• Support installation teams to ensure projects are completed efficiently.

HVAC Install Coordinator - US HVAC Company (based in Virginia)

You'll be the connection point between Sales, Purchasing, Warehouse, Installation, and the customer—ensuring every project is set up for success before installation day arrives.

Your ability to stay organized, communicate clearly, and solve problems proactively directly impacts customer satisfaction, team efficiency, and company growth.

What You'll Be Responsible For:

• Building complete and accurate installation job packets
• Ordering materials and equipment for installation projects
• Verifying equipment accuracy upon arrival and ensuring proper staging
• Coordinating schedules, manpower, equipment, and materials with Install Managers and Sales Teams
• Securing permits and ensuring compliance with local jurisdictions
• Creating invoices, job costing, and project documentation within ServiceTitan
• Maintaining proactive communication with customers and internal teams
• Identifying and resolving scheduling, permitting, or material challenges before they impact the customer experience
• Supporting installation teams to ensure projects are completed efficiently and professionally
• Participating in ongoing training and development opportunities

What We're Looking For:

• 3+ years of US HVAC (Heating, Ventilation, Airconditioning, Cooling) industry experience preferred
• Understanding of residential HVAC systems and installation processes
• Knowledge of HVAC equipment, thermostats, IAQ products, and duct systems
• Familiarity with local permitting requirements and mechanical codes
• Experience with ServiceTitan or similar field service software preferred
• Strong organizational and communication skills
• Ability to prioritize effectively in a fast-paced environment
• High level of accountability and attention to detail
