Job summary

ibex is seeking an experienced HVAC Installation Coordinator to support field teams and customers, ensuring installations are scheduled, documented, and completed to high standards.

The role requires knowledge of residential HVAC systems, equipment, and local permitting, with strong organizational and communication skills to manage multiple projects in a fast-paced environment.

Qualifications

• 3+ years of HVAC industry experience preferred.
• Understanding of residential HVAC systems and installation processes.
• Knowledge of HVAC equipment, thermostats, IAQ products, and duct systems.
• Familiarity with local permitting requirements and mechanical codes.
• Experience with ServiceTitan or similar field service software preferred.
• Strong organizational and communication skills.
• Ability to prioritize effectively in a fast-paced environment.
• High level of accountability and attention to detail.

Responsibilities

• Building installation job packets and project documentation.
• Coordinating schedules, manpower, equipment, and materials with Install Managers.
• Creating invoices and job costing within ServiceTitan.
• Maintaining proactive communication with customers and internal teams.
• Identifying and resolving scheduling, permitting, or material challenges before they impact the customer experience.
• Supporting installation teams to ensure projects are completed efficiently and professionally.
• Participating in ongoing training and development opportunities.

• Ordering materials and equipment for installation projects
• Verifying equipment accuracy upon arrival and ensuring proper staging
• Coordinating schedules, manpower, equipment, and materials with Install Managers

Sales Teams

• Securing permits and ensuring compliance with local jurisdictions
