Job summary

VA Masters is seeking a Travel Operations Assistant who is highly organized and detail-oriented to support a busy independent travel advisor. Responsibilities

Job Summary:

We're keen to bring on a highly organized and detail-oriented Travel Operations Assistant to support a busy independent travel advisor. In this role, you'll be the reliable right hand who keeps every client's trip on track — owning reminders, itineraries, and inbox flow inside one clean, centralized system. We're looking for someone proactive and dependable who takes ownership of deadlines and makes sure nothing slips through the cracks.


Key Responsibilities:


  • Build and maintain a single, organized system to track all clients, trips, key dates, and payment milestones


  • Set up and manage automated email sequences for trip, pre-departure, and payment reminders so clients are always informed on time


  • Proactively schedule and send reminders ahead of each client's trip so no date or deadline is ever missed


  • Create clear, well-formatted client itineraries and keep them updated as trip details change


  • Manage and triage a high-volume inbox — sort, prioritize, respond to routine inquiries, and flag anything needing personal attention


  • Track upcoming trips and payment due dates and surface a daily or weekly \"what's due\" overview


  • Maintain accurate, up-to-date client records



Mandatory Skills:


  • Strong organizational and time-management skills, with genuine reliability around deadlines and follow-through


  • Experience setting up and running email automations or reminder workflows using email marketing or CRM automation tools


  • Comfortable building and formatting itineraries and working with booking or trip details


  • Excellent written English with a warm, professional style suited to client-facing communication


  • Experience managing a busy inbox and juggling multiple clients and priorities at once


  • Tech-comfortable and quick to learn new systems and tools


  • Reliable, detail-oriented, and able to work independently


  • Strong communication skills



Preferred Skills:


  • Prior experience supporting a travel advisor, travel agency, or hospitality/concierge business


  • Familiarity with travel booking platforms and itinerary-building tools


  • Experience building a CRM or process from a blank slate


  • Ability to manage multiple projects simultaneously
