SUN BATTLEDORE INC is seeking a Logistics/ Fleet Dispatch Coordinator in the Philippines. You will assist in planning daily vehicle routing and driver assignments to optimize transport timelines and costs.
You will track real-time delivery updates, coordinate with drivers and warehouse teams, and maintain PODs, fuel receipts, and delivery logs. Strong organizational skills and ERP/Microsoft Office proficiency are essential.
DUTIES & RESPONSIBILITIES
Fleet Dispatch & Transport Coordination
Assist in planning daily vehicle delivery routing, load distribution, and driver assignments to optimize transport timelines and delivery costs.
Track real-time delivery status updates between truck drivers, helpers, warehouse teams, and internal/external clients.
Maintain active communication with drivers on the road to address route delays, customer delivery issues, or vehicle emergency breakdowns.
Collect, audit, process, and archive daily driver trip logs, Proof of Delivery (POD) signatures, and delivery receipts.
Fleet Maintenance & Expense Administration
Track vehicle preventive service schedules, coordinate maintenance routines with accredited service centers, and log repair history.
Verify, record, and compile fuel receipts, mileage/kilometer logs, toll expenses, and total trip cost documentation.
Generate monthly Fleet Utilization, Mileage Efficiency (km/L), and Fuel Consumption reports for management review.
Internal Supply & Material Fulfilment
Monitor inventory levels for operational packaging materials, office supplies, warehouse consumables, and logistics equipment.
Process internal material requests from e-commerce fulfillment, marketing, and corporate departments in a timely manner.
Coordinate with purchasing/procurement teams to issue purchase requisitions and follow up on vendor supply deliveries.
Organize internal supply storage areas, perform periodic physical stock counts, and prevent supply stockouts.
Logistics Reporting & OTIF Performance Tracking
Maintain the Daily Dispatch & Delivery Status log (planned vs. actual departure/arrival times, dropped routes).
Monitor On-Time In-Full (OTIF) delivery metrics and generate monthly performance dashboards for logistics management.
Maintain organized digital and physical archives of all fleet files, driver compliance documents, and supply logs.
JOB QUALIFICATION
Education & Work Experience
Bachelor's Degree or Associate Degree in Logistics, Supply Chain Management, Business Administration, or related field.
Minimum 1-3 years of experience in fleet management assistance, logistics dispatch, or internal inventory coordination.
Skills & Technical Proficiency
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for compiling dispatch logs and fleet utilization metrics.
Familiarity with GPS fleet tracking software, transport routing tools, or Warehouse/Enterprise Resource Planning (ERP) systems.
Strong administrative, record-keeping, and organizational skills with sharp attention to financial/fuel receipt details.
