JOB SUMMARY
The Logistics Assistant supports daily logistics operations, including picklist preparation, route planning, truck booking and assignment, trip ticket processing, delivery monitoring, backload encoding, and expense liquidation. The role ensures accurate documentation, timely coordination, and smooth execution of customer deliveries.
KEY RESPONSIBILITIES
Picklist, Routing & Truck Booking
- Prepare and organize daily picklists for routing.
- Assist in route planning and truck requirements based on volume, capacity, and delivery schedules.
- Coordinate truck bookings with internal fleet and 3PL partners.
- Monitor and follow up on truck confirmations and cancellations.
Trip Ticket & Truck Assignment
- Prepare trip tickets based on approved routes and truck assignments.
- Verify truck, driver, route, delivery points, and call-time details.
- Assign available trucks based on route, capacity, and delivery requirements.
- Coordinate truck assignments with Dispatchers, drivers, and 3PL partners.
- Escalate truck availability issues, cancellations, and breakdowns affecting deliveries.
Delivery Monitoring
- Monitor daily deliveries from dispatch until completion.
- Coordinate with drivers, Dispatchers, 3PL partners, Sales, and Customer Service regarding delivery status.
- Provide timely updates on delivered, in-transit, delayed, cancelled, or failed deliveries.
- Escalate delivery issues that may affect customer service and sales targets.
Backload & Records Management
- Encode and update completed backload transactions accurately and on time.
- Record returned, rejected, cancelled, and other backload transactions.
- Ensure backload information is properly matched with the corresponding trip and delivery.
- Coordinate with Warehouse and Inventory teams regarding backloads and discrepancies.
Expense Liquidation & Reporting
- Process logistics-related expense liquidations in accordance with company policies.
- Validate receipts and required supporting documents.
- Monitor outstanding liquidations and ensure timely submission.
- Prepare regular reports covering truck bookings, deliveries, backloads, expenses, and other logistics activities.
- Maintain accurate and updated logistics records.
QUALIFICATIONS
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
- With experience in logistics, transportation, dispatch, or supply chain operations is preferred.
- Knowledge of route planning, truck booking, and 3PL coordination is an advantage.
- Proficient in MS Excel/Google Sheets and basic logistics systems.
- Strong coordination, communication, and organizational skills.
- Detail-oriented and able to maintain accurate records.
- Able to work under pressure and meet daily operational cut-off times.
- Willing to coordinate with field personnel, drivers, and external logistics partners.
