Job summary

SYSGEN RPO is seeking a highly organized Workforce Planner to support day-to-day scheduling operations for clinicians and participants in a structured, fast-paced environment.

You will coordinate appointments, manage referrals, maintain scheduling systems, and provide administrative support to ensure timely, accurate scheduling services. Strong communication and attention to detail will be essential as you collaborate with internal teams and stakeholders.

Qualifications

• Strong written and verbal English communication is required.
• Excellent customer service and stakeholder management.
• High attention to detail and accuracy.
• Excellent organizational and time management skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong data entry and administrative skills.
• Intermediate proficiency in Microsoft Outlook, Word, Excel, and Teams.

Responsibilities

• Receive, review, and process referrals.
• Schedule participant appointments within required service timeframes.
• Coordinate with clinicians, participants, and internal teams regarding appointments and changes.
• Update scheduling and workforce systems with appointments and changes.
• Manage clinician leave and availability in scheduling systems.
• Process participant discharges following procedures.
• Maintain accurate participant records and scheduling documentation.
• Monitor shared inboxes and respond to scheduling requests.
• Assist with daily workforce scheduling and clinician schedule optimization.
• Support participant waitlist management.
• Escalate complex scheduling issues when needed.
• Ensure administrative tasks are completed accurately and on time.
• Contribute to process improvements and system changes.
