We are looking for a highly organized and customer-focused Workforce Planner to join our team and support day-to-day scheduling operations.

In this role, you will help coordinate appointments, manage referrals, maintain scheduling systems, and provide administrative support to ensure clinicians and participants receive timely and accurate scheduling services. Responsibilities
- Receive, review, and process incoming referrals.
- Schedule participant appointments within required service timeframes.
- Coordinate with clinicians, participants, and internal teams regarding appointments and schedule changes.
- Update scheduling and workforce systems with appointments, cancellations, reschedules, and amendments.
- Manage clinician leave and availability in scheduling systems.
- Process participant discharges following established procedures.
- Maintain accurate participant records and scheduling documentation.
- Monitor shared inboxes and respond to scheduling requests.
- Assist with daily workforce scheduling and clinician schedule optimization.
- Support participant waitlist management.
- Escalate complex scheduling issues when needed.
- Ensure administrative tasks are completed accurately and within required timelines.
- Contribute to process improvements and support new procedures and system changes.
Qualifications
- At least 2 years of experience in workforce planning, scheduling, administration, customer service, or a similar role.

Preferred Skills
- Experience in healthcare, allied health, disability, aged care, or community services.
- Experience using workforce scheduling, rostering, or appointment management systems.
- Experience supporting Australian clients or working within the Australian healthcare industry.
