Job summary

Private Advertiser is seeking a detail‑oriented Scheduling Coordinator to manage client consultations from webinars and inquiries. You will maintain a precise calendar, send confirmations and reminders, and support the sales team with proposals and quotes, ensuring smooth scheduling and strong client communication.

You will collaborate with sales, lead generation, and consulting teams to maximize consultation opportunities, monitor attendance, and handle cancellations or rescheduling

Qualifications

• 3+ years of experience in client coordination, appointment scheduling, or sales support.
• Strong scheduling, calendar management, and multitasking abilities.
• Proficient in Microsoft Excel for trackers, tagging, and databases.
• Experience maintaining sales databases, CRM records, and client trackers.
• Comfortable preparing client proposals, quotations, and sales documents.

Responsibilities

• Schedule prospective clients from webinars, orientations, and inquiries for consultations.
• Coordinate and adjust consultation schedules based on client and consultant availability.
• Manage cancellations, rescheduling, and no-shows and fill vacant slots when possible.
• Maintain an organized consultation calendar and help achieve daily targets.
• Send confirmations and reminders via email, text, and calls using scripts.
• Update and organize the sales database, consultation trackers, and client records.
• Assist in preparing client proposals, quotations, and service packages.
• Monitor attendance, cancellations, reschedules, and follow-up status.
• Coordinate professionally with clients and provide accurate scheduling information.
• Work with sales, lead generation, and consulting teams to maximize consultations.
