Job summary

Hammerjack Pty Ltd is seeking a Project Coordinator to support people operations by managing the full staff lifecycle from candidate sourcing through onboarding, while safeguarding accurate staff records and ensuring incidents are tracked and resolved promptly.

Reporting to the Head of Operations, the role works across different teams to coordinate end-to-end project activity in a structured and responsive manner.

Responsibilities

• Follow up with recruitment team to source and track candidates through hiring pipeline
• Coordinate onboarding logistics and requirements for new staff
• Coordinate and manage onsite training requirements
• Manage and maintain accurate staff information records
• Check in with stakeholders to understand needs and issues
• Administers IMS case process across quality and information security
• Prepare minutes of IMS meetings
• Update staff records and take action as needed
• Manage incident reporting processes with timely documentation
• Prepare status reports and updates for stakeholders
• Ensure clear communication across teams on staffing and operations
• Track project status, dependencies, milestones and progress
• Coordinate end-to-end project activities with stakeholders
• Process activities in line with due dates and program controls
• Maintain work order records and documentation
• Support customer and stakeholder coordination and delivery updates
• Identify risks, delays and blockers and escalate appropriately
• Monitor KPI and SLA performance and trigger corrective actions
• Support governance and reporting with project tracking information
