Job summary

Verdant Energy in San Jose City, Nueva Ecija, is seeking a Site Administrator to manage day-to-day administrative activities, serving as the main contact between the project site and Head Office. You will support the Site/Project Manager across administration, personnel management, logistics, and finance coordination.

The role requires a Bachelor’s degree in a related field and 2–4 years of site administration experience, strong organizational skills, and proficiency in Microsoft Office.

Qualifications

  • Bachelor's degree in Business Administration, Office Administration, Management, Human Resources, or a related field.
  • At least 2–4 years of experience in site administration, project administration, construction administration, or a similar role.
  • Strong organizational and time-management skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Strong coordination and interpersonal skills.
  • Document and records management experience.
  • Experience in the renewable energy, power, construction, infrastructure, or engineering industry is highly preferred.
  • Experience working in a project/site-based environment is an advantage.

Responsibilities

  • Manage day-to-day administrative activities of the project site
  • Maintain accurate and organized site files, records, correspondence, and project documentation
  • Prepare and monitor administrative reports, trackers, forms, and site records
  • Coordinate site meetings, schedules, minutes, and follow-up actions
  • Maintain updated records of site personnel, contractors, and visitors
  • Monitor daily attendance, timesheets, manpower deployment, and leave records
  • Coordinate accommodation, transportation, travel arrangements, and logistical requirements for project personnel
  • Monitor office and site supplies and coordinate replenishment when necessary
  • Maintain proper filing and control of project and administrative documents
  • Assist in processing site-related invoices, reimbursements, petty cash, and supporting documents

Job description

The Site Administrator manages the day-to-day administrative activities of the project site, serving as a key administrative point of contact between the project site and the Head Office.
