Position Summary
The SITE ADMIN. MANAGER provides administrative, documentation, and coordination support to the project site team. The role is central to accurate reporting to Head Office, permit compliance, document control, and warehouse/material administration, and is directly accountable for administering the site's material housekeeping and recovery protocol. The role requires a high degree of reliability, integrity, and attention to detail, as several duties directly support project cost control, contractual compliance, and audit-defensibility of site records.
Key Responsibilities:
Attendance & HQ Reporting
- Record daily site attendance for all site personnel and submit accurate reports to Head Office by end of shift, without exception.
Site Documentation
- Take and file daily site pictures per the project's picture-log standard.
- Maintain organized, retrievable images and document records for project reporting and audit purposes.
Permit Applications
- Prepare and submit permit applications to the client and/or relevant local authorities (Ex. LGU, Bureau of Customs/CBP as applicable), tracking lead times to prevent work stoppages caused by permit delays.
Document Control
- Support document transmittals, filing, and distribution accurately and on schedule, per Project Manager instruction.
Warehouse Administration
- Process and log material requests within required turnaround time; Keep stock records current in coordination with the Warehouse Assistant.
Material Housekeeping & Recovery Protocol
- Administer the Site Material Findings Tracker: Ensure daily entries from the subcontractor self-inspection and warehouse verification sweep are complete, accurate, and current.
- Issue Non-Compliance Notices for undeclared items within the required timeframe and follow through to resolution.
- Escalate unattributed items to the Project Manager/QS for determination, per protocol.
General Administrative Support
- Complete other ad hoc administrative tasks assigned by the Project Manager/Head of Projects within agreed deadlines.
Accountability & Records Integrity:
This role carries direct responsibility for the accuracy and integrity of site records that feed into HQ reporting, billing/back-charge decisions, and compliance documentation. Falsified, backdated, or materially inaccurate entries in any log or report are treated as a seriousintegrity violation, not merely a performance issue, and will be addressed under JPI's disciplinary procedures.
Qualifications and Requirements:
- At least 5–10 years of experience in a site administration, document control, or project support role, preferably in the Construction Industry or a related field.
- Working knowledge of MS Office (Excel, Word) required; Familiarity with basic tracking spreadsheets and photo/document filing systems is essential.
- Basic understanding of permit processes with LGUs and/or clients is an advantage.
- High attention to detail, strong organizational skills, and demonstrated reliability in meeting daily deadlines.
- Demonstrated honesty and integrity in handling records — this role will be subject to reference checks focused specifically on trustworthiness and accuracy of past work.
- Willingness to work on-site, full time, in Pasay city.
- Good communication skills in English and Filipino; ability to coordinate with subcontractors, warehouse staff, and Head Office.
