Job Description
The Shuffling Specialist is responsible for optimizing room inventory across all managed properties through
strategic room allocation, inventory balancing, and room shuffling. The role ensures the timely and effective
management of Quote and Parked bookings, and accurate room assignments to maximize occupancy,
revenue opportunities, and operational efficiency.
Working closely with the Revenue, Reservations, Sales, Corporate Reservations, and Hotel Management
teams, the Shuffling Specialist monitors room availability, resolves inventory issues, and maintains
reservation accuracy to support efficient operations, revenue objectives, and a seamless guest experience.
KEY RESPONSIBILITIES
1. Room Allocation & Inventory Management
- Manage room allocations, shuffling, and upgrades to optimize inventory utilization, maximize standard room availability, and support revenue objectives.
- Monitor quote bookings, parked reservations, pending allocations, and daily arrivals, departures, occupancy, and room availability to ensure timely room assignments and minimize unallocated bookings.
- Resolve room allocation issues and maintain balanced inventory across all managed properties.
2. Revenue Support & Operational Excellence
- Support revenue optimization by strategically managing room inventory based on occupancy, demand, and booking patterns.
- Maximize sellable inventory, reduce overbooking risks, and improve room utilization while ensuring reservation accuracy and operational efficiency.
- Monitor inventory performance, track room shuffling activities, prepare reports, and recommend process improvements to enhance inventory management.
3. Collaboration & Coordination
- Collaborate with the Reservations, Sales, Operations, Corporate, and Hotel teams to ensure effective room allocation and inventory management.
- Communicate inventory updates, allocation requirements, and operational issues in a timely manner.
- Assist in resolving reservation and inventory concerns while supporting continuous process improvement and cross-functional initiatives.
4.. Other Duties
When workload permits, provide support to the Revenue and Reservations teams by assisting with:
- Arrival checks, reservation audits, and booking updates.
- Pricing updates, inventory maintenance, and operational reporting.
- Reservation calls, emails, and administrative tasks.
- Cross-training, departmental projects, and other duties assigned by the Assistant Revenue & Distribution Manager or Management.

- Timely completion of daily room allocation, shuffling, and reservation management tasks.

- Quality and timeliness of required reports and documentation.

- Effective optimization of room inventory across all properties.
- Proactive management of room availability to minimize inventory constraints.
- Timely management of inventory issues to ensure zero inventory escalations.
4. Data Accuracy & Tracking Compliance
- Accurate, complete and consistent monitoring and tracking of Room Inventory, Quote bookings, Parked reservations, and allocation activities.
- Maintenance of accurate records to support reporting and decision-making.
5. Quote Booking Allocation Efficiency
- Timely allocation and resolution of Quote bookings and Parked reservations.
- Reduction of Unallocated bookings through proactive monitoring and follow-up.
6. Engagement & Coordination
- Effective communication and collaboration with Revenue, Reservations, Sales, Operations, Hotel Teams, and other stakeholders.
- Responsiveness to operational requests and contribution to process improvements.
7. Reliability
- Consistent attendance, punctuality, accountability, and dependability.
- Ability to work independently, maintain productivity under pressure, and demonstrate professionalism while supporting team objectives.
QUALIFICATION REQUIREMENTS
Work Experience
- Previous experience in Hotel Reservations, Central Reservations, Front Office, or Revenue Management is required.
- Experience in room allocation, inventory management, or hotel operations is highly preferred.
- Customer service, hospitality, or sales experience is an advantage.
- Experience working with Property Management Systems (PMS) and hotel reservation systems is preferred.
Specific Technical Skills
- Good knowledge of computer applications and hotel reservation systems.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Experience using Property Management Systems (PMS) is required.
- RMS Cloud experience is beneficial but not essential.
- Ability to analyze reservation reports, inventory data, and occupancy information.
- Strong attention to detail with excellent data entry accuracy.
