The Senior Property Manager is responsible for the overall management, administration, financial performance, and operational excellence of assigned residential properties. The role ensures that the property is well-maintained, financially sustainable, compliant with company policies and regulatory requirements, and consistently delivers high-quality service to residents, unit owners, and other stakeholders.
The Senior Property Manager provides leadership and direction to the property management team, drives operational improvements, manages client relationships, and ensures that property operations are aligned with the company’s standards, values, and objectives.
Key Responsibilities
1. Property Operations Management
- Oversee the day-to-day operations of assigned residential properties.
- Ensure the proper implementation of property management policies, procedures, and service standards.
- Monitor the performance of engineering, housekeeping, security, administration, and other property support services.
- Ensure that common areas, facilities, amenities, and building systems are properly maintained.
- Conduct regular property inspections and identify areas requiring corrective or preventive action.
- Ensure timely resolution of operational issues, resident concerns, and service requests.
2. Leadership and Team Management
- Lead, coach, and supervise Property Managers, administrative staff, engineers, and other property personnel.
- Set performance expectations and monitor individual and team performance.
- Conduct regular team meetings and provide guidance on operational challenges.
- Identify training and development needs and recommend appropriate interventions.
- Promote teamwork, accountability, professionalism, and a strong customer-service culture.
3. Financial and Budget Management
- Prepare, monitor, and manage the property's annual operating budget.
- Review operating expenses, utility costs, contracts, and other financial requirements.
- Monitor collection performance, accounts receivable, and other property financial indicators.
- Identify cost‑saving opportunities without compromising service quality and property standards.
- Review financial reports and provide recommendations to management and clients.
- Ensure that expenses and procurement activities are properly documented and aligned with approved budgets.
4. Client and Stakeholder Management
- Serve as a key point of contact for property owners, homeowners' associations, condominium corporations, residents, and other stakeholders.
- Maintain professional and positive relationships with clients and residents.
- Attend and facilitate client, board, association, and management meetings as required.
- Prepare and present operational, financial, and property performance reports.
- Address escalated concerns and provide timely, appropriate resolutions.
5. Resident Experience and Customer Service
- Ensure that residents receive responsive, professional, and consistent property management services.
- Monitor resident feedback, complaints, and service requests.
- Establish initiatives to improve resident satisfaction and overall community experience.
- Ensure that concerns are properly documented, investigated, and resolved within agreed timelines.
6. Compliance, Risk Management, and Safety
- Ensure compliance with applicable laws, regulations, building requirements, and company policies.
- Monitor implementation of health, safety, emergency preparedness, and security procedures.
- Ensure that permits, licenses, contracts, and other required property documents are properly maintained and updated.
- Identify operational risks and implement appropriate preventive and corrective measures.
- Ensure that incidents, accidents, and other significant property concerns are properly reported and investigated.
7. Vendor and Contract Management
- Oversee third‑party contractors and service providers.
- Monitor vendor performance, service quality, and compliance with contractual requirements.
- Review service contracts and recommend renewal, improvement, or replacement when necessary.
- Ensure that procurement and vendor engagement follow established company procedures.
8. Reporting and Performance Management
- Prepare regular property performance reports covering operations, financials, maintenance, customer concerns, and other key indicators.
- Analyze property data and recommend actions to improve efficiency and profitability.
- Track key performance indicators (KPIs) and ensure achievement of operational and financial targets.
- Escalate critical issues and provide management with timely recommendations.
- Identify opportunities to improve property operations, processes, service delivery, and cost efficiency.
- Implement best practices and standard operating procedures across assigned properties.
- Lead initiatives that enhance property value, resident satisfaction, and operational performance.
Qualifications
- Bachelor's degree in Property Management, Real Estate Management, Business Administration, Engineering, Hospitality Management, or a related field.
- Preferably with relevant professional licenses or certifications.
- At least 5–8 years of experience in property management, with significant experience handling residential or condominium properties.
- At least 2–3 years of supervisory or managerial experience.
- Strong knowledge of property operations, building maintenance, budgeting, client relations, and regulatory compliance.
- Strong leadership, communication, negotiation, problem-solving, and decision‑making skills.
- Proficient in Microsoft Office and property management or related systems.
- Willing to conduct regular site visits and manage multiple stakeholders.
