Job summary

Office Beacon LLC is seeking a Senior Property Manager to own day-to-day operations for a mixed residential and commercial portfolio. You will supervise the Assistant Property Manager, coordinate with tenants, vendors, and contractors, and ensure lease administration, inspections, and documentation are managed efficiently.

The role requires hands-on leadership, strong vendor and tenant relations, and a proactive approach to maintaining Propertyware records and CAM processes within a Pacific/US

Senior Property Manager – Residential & Commercial Position Overview

We are seeking an experienced Senior Property Manager to take ownership of day-to-day property operations across a residential and commercial. The Senior Property Manager will oversee the property management function, including direct supervision of an Assistant Property Manager and coordination with vendors, tenants, contractors, and internal financial resources. This role requires a highly experienced property management professional who can exercise sound judgement, independently resolve operational issues, maintain strong tenant and vendor relationships, and ensure that property-related matters move efficiently from initiation through completion. The ideal candidate will substantially reduce the need for ownership or senior leadership to manage routine property operations by taking accountability for maintenance, leasing, tenant matters, inspections, vendors, compliance, lease administration, documentation, and operational deadlines.

Key Responsibilities
  • Property Operations & Team Management: Oversee the day-to-day management and operations of residential and commercial properties. Supervise, train, and provide direction to the Assistant Property Manager and other property management resources. Establish clear accountability for maintenance requests, tenant matters, leasing activities, inspections, vendors, open items, and completion deadlines. Monitor outstanding property issues and ensure they are followed through to resolution. Exercise independent judgement when handling routine operational matters and escalate significant issues when appropriate. Establish and maintain efficient property management procedures and workflows. Review the performance and quality of work completed by property management team members and service providers.
  • Maintenance & Vendor Management: Manage residential and commercial maintenance requests from the initial report through verified completion. Evaluate maintenance issues and determine the appropriate course of action. Identify, evaluate, and coordinate qualified vendors and contractors. Obtain and review vendor pricing, estimates, and proposals. Schedule maintenance and repair work while coordinating with tenants, vendors, and other stakeholders. Supervise vendor work and verify that services have been completed properly and according to approved requirements. Review the quality, timeliness, and cost-effectiveness of completed work. Maintain complete documentation of maintenance requests, approvals, work performed, invoices, and completion status. Ensure recurring maintenance and property service requirements are completed on schedule.
  • Lease Administration & Compliance: Oversee lease administration across the property portfolio. Maintain accurate and up-to-date lease records and critical dates. Monitor lease expirations, renewal and option periods, rent increases, notice requirements, and other significant lease obligations. Track and follow up on upcoming lease-related deadlines to prevent missed requirements. Monitor tenant and landlord compliance with lease provisions. Review requirements related to insurance certificates, notices, maintenance obligations, use restrictions, reporting requirements, and other material lease provisions. Identify lease compliance exceptions and follow them through resolution. Coordinate lease renewals, amendments, notices, and related documentation. Support leasing activities, including tenant communications, renewals, move-ins, and move-outs. Handle and coordinate AIR forms, DocuSign processes, notices, and other lease-related documentation as required.
  • Propertyware & Tenant Charges: Maintain accurate tenant and property information within Propertyware. Maintain and verify recurring tenant charges, including: Base rent CAM charges Property taxes Insurance Other recoverable expenses. Coordinate with the Controller to ensure recurring charges are implemented accurately and on time. Review operational rent roll information and identify discrepancies requiring correction. Ensure property management records and system information remain accurate and current.
  • Tenant Relations & Communications: Serve as a primary point of contact for tenants regarding property operations and management matters. Manage tenant communications, questions, complaints, requests, and escalations professionally and promptly. Coordinate tenant notices, maintenance access, inspections, repairs, move-ins, and move-outs. Follow up on tenant concerns until appropriate resolution is confirmed. Maintain professional relationships with residential and commercial tenants. Coordinate delinquency-related matters with the appropriate internal financial resources while maintaining proper documentation and communication.
  • Property Inspections & Compliance: Coordinate and oversee regular property inspections. Monitor required inspections, testing, licenses, certifications, and compliance activities. Coordinate requirements related to: Backflow testing Fire protection testing Local licenses Affordable housing requirements Insurance claims Property tax valuation reviews Capital improvements Repairs and construction Other property-specific regulatory and operational requirements. Maintain a forward-looking calendar of property-specific deadlines and recurring requirements. Ensure required inspections, testing, renewals, licenses, and compliance activities are completed on time. Follow up on deficiencies and ensure corrective actions are completed and documented.
  • Financial & Vendor Invoice Coordination: Review property-level bills and vendor invoices for accuracy and completeness. When authorized, approve and process property-level bills and vendor invoices. Verify that: The work was properly authorised, The work was completed, Pricing is reasonable and consistent with approved terms, Charges are assigned to the correct property, Supporting documentation is complete. Coordinate with the Controller regarding invoice reconciliation, financial controls, and property-level accounting matters. Support the Controller by providing accurate operational information and documentation required for financial reconciliation.
  • CAM Reconciliation Support: Support CAM reconciliation activities by interpreting lease requirements and property-specific obligations. Review lease provisions related to recoverability, allocations, and operating expenses. Provide supporting documentation and operational information required for CAM reconciliation. Coordinate with the Controller, who will maintain responsibility for accounting calculations and final financial reconciliation. Identify potential discrepancies between lease requirements, property operations, and financial records.
  • Property Records & Documentation: Maintain complete, organised, and current property records in Dropbox and Propertyware. Ensure documentation is properly filed and readily accessible. Maintain records including: Leases and amendments Vendor agreements and documents Inspection reports Maintenance records Tenant notices Approvals Correspondence Invoices Insurance documentation Compliance records Property-related contracts Other critical property management records. Ensure records are updated promptly following property transactions, maintenance activities, inspections, and other operational events.
Required Qualifications
  • Proven experience as a Senior Property Manager, Property Manager, or similar property management leadership role.
  • Strong experience managing both residential and commercial properties.
  • Demonstrated ability to independently manage day-to-day property operations.
  • Experience supervising and directing an Assistant Property Manager or property management team.
  • Strong knowledge of lease administration and property management processes.
  • Hands‑on experience managing maintenance, vendors, contractors, inspections, and repairs.
  • Experience with tenant communications, escalations, renewals, notices, move‑ins, and move‑outs.
  • Strong understanding of lease compliance, critical dates, renewal options, rent increases, and tenant obligations.
  • Experience using Propertyware is highly preferred.
  • Experience working with property management systems and maintaining accurate property records.
  • Strong understanding of vendor invoice review and property‑level financial coordination.
  • Experience supporting CAM reconciliations and interpreting lease recoverability requirements.
  • Excellent organisational and documentation skills.
  • Strong written and verbal communication skills.
  • Excellent judgement, problem‑solving ability, and attention to detail.
  • Ability to manage multiple properties, deadlines, vendors, tenants, and operational priorities simultaneously.
