The Senior Property Manager is responsible for the overall management and operational performance of assigned residential properties. The role ensures the property is well-maintained, financially sound, compliant with company policies and regulatory requirements, and able to provide excellent service and a positive living experience to residents, unit owners, and stakeholders.
The position provides leadership and direction to the property management team, oversees day-to-day operations, manages client and resident relationships, and ensures that property objectives, service standards, and financial targets are consistently achieved.
Key Responsibilities
1. Property Operations and Management
- Oversee the overall day-to-day operations of assigned residential properties.
- Ensure efficient delivery of property management, engineering, security, housekeeping, customer service, and administrative services.
- Monitor the condition, cleanliness, safety, and overall appearance of the property and common areas.
- Ensure that property operations comply with company policies, building regulations, and applicable laws.
- Develop and implement operational plans and initiatives to improve property performance and resident experience.
2. Leadership and Team Management
- Lead, coach, and supervise the property management team to ensure effective performance and accountability.
- Set team objectives, monitor individual performance, and provide regular feedback and coaching.
- Identify manpower requirements and coordinate with People & Culture on recruitment, deployment, training, and employee‑related concerns.
- Promote teamwork, professionalism, discipline, and excellent customer service within the property team.
3. Financial and Budget Management
- Prepare, monitor, and manage the property's annual operating and capital expenditure budgets.
- Monitor collections, expenses, utilities, maintenance costs, and other property-related financial activities.
- Ensure that expenditures are properly controlled and aligned with approved budgets.
- Review financial and operational reports and implement corrective actions when necessary.
- Identify opportunities to improve cost efficiency and maximize property resources.
4. Resident and Client Relations
- Maintain strong relationships with unit owners, residents, homeowners' associations, clients, and other stakeholders.
- Address and resolve escalated resident complaints, concerns, and service issues in a timely and professional manner.
- Ensure consistent implementation of house rules, policies, and community guidelines.
- Facilitate meetings, consultations, and discussions with clients, residents, and association representatives when necessary.
- Promote a positive resident experience and maintain high customer satisfaction.
5. Maintenance and Engineering Oversight
- Coordinate with the Engineering team to ensure preventive and corrective maintenance programs are properly implemented.
- Monitor major repairs, projects, equipment maintenance, and building facilities.
- Ensure timely resolution of technical and maintenance concerns affecting residents and property operations.
- Review recommendations for repairs, replacements, and capital improvement projects.
6. Safety, Security, and Compliance
- Ensure compliance with fire safety, occupational safety, environmental, building, and other applicable regulatory requirements.
- Coordinate with security and emergency response teams to maintain a safe and secure residential environment.
- Ensure proper implementation of emergency preparedness and business continuity procedures.
- Monitor compliance with permits, licenses, insurance requirements, and other statutory obligations.
7. Vendor and Contractor Management
- Oversee third‑party contractors, suppliers, and service providers supporting property operations.
- Evaluate vendor performance, service quality, and compliance with contractual requirements.
- Review service agreements, quotations, and recommendations in coordination with concerned departments.
- Ensure contractors deliver services according to agreed standards, timelines, and specifications.
8. Reports and Documentation
- Prepare and review regular operational, financial, maintenance, incident, and management reports.
- Ensure accurate and timely submission of required property reports and documentation.
- Analyze property performance indicators and recommend appropriate actions for improvement.
- Maintain proper records of property operations, contracts, incidents, and stakeholder concerns.
9. Property Improvement and Strategic Initiatives
- Identify opportunities to improve operational efficiency, service quality, resident satisfaction, and property value.
- Lead or support property improvement, renovation, and enhancement projects.
- Monitor industry practices and recommend initiatives that can improve residential property management services.
- Support management in achieving company and property‑specific objectives.
Qualifications
- Bachelor's degree in Property Management, Business Administration, Real Estate Management, Engineering, Hospitality Management, or a related field.
- Preferably with 5–8 years of relevant experience in property management, with at least 2–3 years in a supervisory or managerial capacity.
- Experience handling residential condominium properties is highly preferred.
- Strong knowledge of property operations, facilities management, customer service, budgeting, and regulatory compliance.
- Excellent leadership, communication, negotiation, and problem‑solving skills.
- Strong organizational and decision‑making abilities.
- Proficient in Microsoft Office and property management‑related systems.
- Willing to work on‑site and handle operational concerns beyond regular working hours when necessary.
