The Property Manager – Residential is responsible for the overall management and day-to-day operations of the assigned residential property. The position ensures the efficient delivery of property management services, maintains high standards of building operations and resident satisfaction, and ensures compliance with company policies, client requirements, and applicable laws and regulations.
The Property Manager serves as the primary point of coordination among the property owner/client, residents, homeowners or condominium association, tenants, contractors, and internal departments.
KEY RESPONSIBILITIES
1. Property Operations and Administration
- Oversee the day-to-day operations and administration of the assigned residential property.
- Ensure that property operations are conducted efficiently and in accordance with approved policies, procedures, and service standards.
- Monitor the performance of all departments, personnel, and service providers assigned to the property.
- Ensure proper implementation of property rules, regulations, and operational procedures.
- Prepare and submit regular operational reports, updates, and recommendations to management and the client.
2. Resident and Client Relations
- Maintain positive and professional relationships with residents, homeowners, tenants, and clients.
- Address and resolve resident concerns, complaints, and requests in a timely and appropriate manner.
- Coordinate with the client or homeowners' association on property concerns, operational matters, and improvement initiatives.
- Ensure a high level of resident satisfaction and quality of service.
- Represent the property management company during meetings with clients, residents, homeowners, and other stakeholders.
3. Building Maintenance and Facilities Management
- Monitor the condition, cleanliness, safety, and overall appearance of the property.
- Coordinate with the Engineering and Maintenance teams to ensure timely preventive and corrective maintenance.
- Ensure that common areas, facilities, equipment, and building systems are properly maintained.
- Monitor contractors and service providers to ensure compliance with agreed scope, quality, and service standards.
- Recommend necessary repairs, replacements, and property improvement projects.
4. Financial and Budget Management
- Assist in the preparation and monitoring of the property's annual operating budget.
- Monitor operating expenses and ensure that expenditures are within approved budgets.
- Review and validate purchase requests, work orders, invoices, and other property-related expenses.
- Monitor collection and payment-related concerns in coordination with the Accounting/Finance team.
- Identify opportunities to improve operational efficiency and manage costs.
5. Safety, Security, and Compliance
- Ensure compliance with applicable laws, government regulations, building codes, safety standards, and company policies.
- Coordinate with security personnel to maintain a safe and secure environment for residents, employees, and visitors.
- Ensure proper implementation of emergency preparedness and disaster response procedures.
- Monitor and report incidents, accidents, property damage, and other safety-related concerns.
- Ensure that required permits, licenses, inspections, and certifications are properly monitored and maintained.
6. Staff Management and Development
- Lead, supervise, and evaluate property management staff and assigned personnel.
- Set performance expectations and monitor individual and team performance.
- Conduct regular team meetings and provide coaching, guidance, and feedback.
- Identify training and development needs of property staff.
- Promote teamwork, professionalism, accountability, and excellent customer service.
7. Vendor and Contractor Management
- Supervise and evaluate contractors, suppliers, and service providers.
- Ensure that vendors comply with contractual requirements, safety standards, and property policies.
- Monitor service quality, response time, and completion of work.
- Coordinate with Procurement and other concerned departments for accreditation, bidding, renewal, and contract-related matters.
8. Community and Property Programs
- Implement resident engagement, community activities, and property improvement initiatives.
- Coordinate property events, announcements, and resident communications.
- Support initiatives that promote a positive residential community and enhance the overall resident experience.
QUALIFICATIONS
- Bachelor's degree in Property Management, Real Estate Management, Business Administration, Engineering, Hospitality Management, or a related field.
- Preferably with relevant professional certification or license in property/real estate management.
- At least 3–5 years of experience in property management, preferably in residential or condominium operations.
- Experience in managing residential properties, building operations, resident relations, and service providers is preferred.
- Strong leadership, communication, problem-solving, and organizational skills.
- Knowledge of property operations, budgeting, maintenance, safety, and regulatory compliance.
- Proficient in Microsoft Office and other property management systems/tools.
- Willing to work on-site and handle operational concerns outside regular working hours when necessary.
