JJA Travel and Tours is seeking a seasoned Travel Operations Coordinator in Makati to manage and coordinate complex domestic and international leisure travel arrangements for FIT, family, group, and customized travel. You will oversee flights, accommodations, tours, transfers, insurance, and related services to ensure seamless delivery.
The role requires coordinating with airlines, hotels, tour operators, and other suppliers, reviewing requirements, preparing itineraries, and handling approvals,
Manage and coordinate complex domestic and international leisure travel arrangements, including FIT, family, group, and customized travel.
Oversee the end-to-end operational process covering flights, accommodations, tours, transfers, transportation, travel insurance, and other travel-related services.
Review client requirements and ensure that travel arrangements are properly coordinated, confirmed, and documented.
Prepare, review, and finalize detailed travel itineraries, vouchers, booking confirmations, passenger lists, rooming lists, and other operational documents.
Handle airline, hotel, tour, transportation, and other travel-related reservations, including amendments, cancellations, rebooking, and special requests.
Coordinate closely with airlines, hotels, tour operators, destination management companies, transportation providers, and other suppliers.
Monitor booking deadlines, ticketing time limits, payment schedules, cancellation periods, supplier conditions, and other critical operational requirements.
Verify booking details, rates, inclusions, exclusions, passenger information, travel dates, and other arrangements to minimize errors and operational risks.
Monitor upcoming departures and ensure that all travel requirements and services are properly confirmed before the client's departure.
Coordinate group travel requirements, including passenger manifests, rooming lists, transportation arrangements, tour schedules, meal requirements, special requests, and other operational details.
Provide guidance and assistance to clients regarding itineraries, travel requirements, documentation, schedule changes, and other operational concerns.
Handle and resolve complex client concerns, complaints, and service issues professionally and promptly.
Coordinate appropriate solutions for flight cancellations, delays, missed connections, hotel issues, itinerary disruptions, and other travel emergencies.
Assist in coordinating visa, travel insurance, immigration, and other travel documentation requirements when applicable.
Monitor travel advisories, destination entry requirements, airline policies, weather conditions, and other circumstances that may affect travel arrangements.
Maintain close coordination with the Sales, Ticketing, Visa, Finance, and other internal departments to ensure seamless service delivery.
Monitor client payments, supplier payments, outstanding balances, refunds, cancellations, penalties, and additional charges in coordination with the Finance Department.
Review quotations, bookings, invoices, vouchers, and other travel documents for accuracy and consistency with approved arrangements.
Maintain accurate and updated records of bookings, clients, suppliers, itineraries, payments, and other operational transactions.
Prepare operational, booking, departure, and other reports required by management.
Identify recurring operational issues and recommend improvements to procedures, workflows, and service standards.
Provide guidance, technical assistance, and operational support to Travel Officers and other junior personnel.
Assist in training and coaching team members on booking procedures, itinerary preparation, supplier coordination, documentation, and client service standards.
Act as a senior resource person for complex travel arrangements and operational concerns.
Escalate significant financial, supplier, client, or operational issues to the immediate supervisor or management when necessary.
Ensure compliance with company policies, supplier terms and conditions, applicable regulations, and established operational procedures.
Maintain strict confidentiality of client information, travel documents, financial information, and company records.
Perform other related duties and responsibilities as may be assigned by management.
