Cloudstaff Philippines Inc. is seeking a Senior Executive Assistant to support the Office of the CFO in the Philippines (Makati/Ortigas). The role is office-based with a morning shift and requires expert calendar, travel, and governance coordination.
You will manage the CFO’s schedule, dashboards, board packs, and high-level communications, ensuring timely action and discreet handling of sensitive information.
Role: Senior Executive Assistant
Work Arrangement: Work from Office
Location: Philippines - Makati/Ortigas
Schedule: Morning Shift
Executive support to the CFO
Own the CFO's calendar: prioritisation, conflict resolution, protected focus time and meeting preparation.
Triage the inbox and support correspondence — drafting, flagging and routing so only what genuinely needs the CFO reaches the CFO.
Arrange travel: itineraries, visas, logistics and contingencies.
Prepare the CFO for meetings — agendas, pre-reads and briefing notes — and capture the actions that come out of them.
Manage expenses, approvals routing and general administrative workflow.
Maintain the action log from executive meetings and follow up owners to closure ahead of deadlines, on behalf of the CFO.
Track commitments made to and by the CFO across the executive team, surfacing slippage early rather than reporting it late.
Produce a weekly summary of open actions, stalled items and upcoming deadlines.
Maintain the project register for the Office of the CFO: owners, milestones, status and risks.
Chase project owners for updates and keep a concise status dashboard current.
Flag drift before it becomes a problem — this role is early warning, not post-mortem.
Own board pack logistics end to end: the submissions calendar, chasing contributors, version control, formatting consistency and on-time distribution.
Coordinate inputs from finance, regional leaders and functional heads.
Manage board and executive meeting logistics — scheduling, attendance, papers — and support the capture of minutes and actions.
Maintain the rolling forward agenda for board and executive meetings.
Coordinate with other assistants and functional teams to keep the executive cadence moving.
Handle board, financial, personnel and transaction material with complete discretion.
Provide ad hoc support: information packs, short summaries and trackers.
7+ years' EA experience, including 3+ years supporting C-level executives, with experience in a finance or COO/operations environment — you understand reporting cycles and deadlines that do not move.
Comfortable following up senior stakeholders on behalf of the CFO — persistent, tactful and organised about it.
Experience with board packs or formal governance and reporting cycles is strongly preferred.
Excellent written English and the ability to draft clear, professional correspondence.
Advanced Microsoft Office (Outlook, Word, Excel, PowerPoint), comfort with project-tracking tools, and a quick adopter of AI productivity tools.
Exceptional discretion and judgement — the role sees sensitive material daily.
Calm, organised and assertive under pressure.
Comprehensive health and life insurance on your 16th day of employment, covering 1 free dependent on the 16th day of employment
Up to 24 leave credits per year
Flexible leave credits which may be used for vacation, emergency and sick leaves
