Job Description:
The Personal Assistant role supports Partners, Directors, Managers and the broader Business Advisory team to deliver high-quality accounting, taxation and advisory services to clients. The role is focused on diary and inbox support, client communications, task coordination, document preparation, billing support and follow-up of key deadlines.
The successful candidate will be highly organised, proactive, professional and comfortable working with a busy client serviceteam. The role requires strong attention to detail, clear communication, strong prioritisation and the ability to work independently while staying connected to the broader team.
Key Responsibilities:
Partner, Director and team support
- Manage calendars, diary movements, meeting invitations and meeting logistics for allocated Partners.
- Monitor and assist with inboxes, correspondence and follow-up actions, escalating urgent items where required.
- Coordinate meetings, including preparing agendas, collating supporting materials, issuing invitations.
- Assist with travel bookings, expense processing and other administrative requirements for the team.
Client communication and workflow coordination
- Coordinate client communications regarding document requests, signatures, lodgements, invoices, deadlines and compliance requirements.
- Act as a professional administrative point of contact for clients, ensuring messages are clear, timely and escalated appropriately.
- Assist with onboarding new clients and offboarding departing clients, including client acceptance support, records setup and document collation.
- Maintain workflow trackers, registers and deadline lists to support timely team delivery.
- Follow up internal team members for outstanding information, approvals and actions.
Document, proposal and practice support
- Prepare, format and proofread client correspondence, proposals, engagement documentation and service agreements in line with company standards.
- Collate client deliverables and meeting packs.
- Maintain accurate client records, contact details, compliance documentation and electronic client files across firm systems.
- Assist with marketing initiatives and business development support where required.
- Contribute to continuous improvement of administrative processes, templates and team workflows.
Financial administration
- Prepare and process invoices for review and approval.
- Assist with WIP monitoring, engagement setup and monthly billing administration.
- Follow up outstanding debtors in a professional manner and elevate issues where required.
- Assist with monthly reporting requirements and practice management system updates.
Non-negotiable skills and requirements:
- 2+ years of experience in a personal assistant, administration, client service or professional services support role.
- Strong verbal and written communication skills, with a professional phone and email manner.
- Excellent organisation, time management and prioritisation skills, including the ability to manage competing deadlines.
- High attention to detail and accuracy when preparing documents, maintaining records and managing deadlines.
- Ability to work autonomously and collaboratively within a team environment.
- Strong Microsoft Office skills, especially Outlook, Word, Excel, PowerPoint and Teams.
- Comfort working with confidential information and applying sound judgement when escalating matters.
