Job summary

Responsibilities

• Maintain database of order processing information (COR, Ship-to-codes, addresses).
• Coordinate with Sales and Distribution teams to align on pricing, units, and barcodes/lots vs POS.
• Act as day-to-day orchestrator between warehousing and transport resources to meet timelines.
• Ensure orders are encoded and batched accurately to prevent PO expiration and lost sales.
• Prepare regular operational reports and KPIs for reviews and planning.
• Support IT/process improvement initiatives to enhance efficiency and profitability.

STATEMENT OF DUTIES AND RESPONSIBILITIES:

• Maintained database of relevant information which is of vital importance ibn the discharge of functions in order processing, such as: COR, Ship-to-codes, and addresses. Etc.
• Conducts clarification initiative with Sales counterparts in seeking precise guidance on issues of price discrepancies, UOM, the disparity on bar codes/lots versus Pos. etc.
• Collaborates actively with Sales & Customer service group in ensuring common understanding and guidance to whatever special instructions are needed to successfully deliver customer expectation. 2.1.3 Act the links and orchestrator of day-to-day workloads between warehousing operation and transport resource functions.
• Ensures that all Pos due for processing are completely and accurately done expected prevent misses on OTD as well as PO expiration.
• Provide uploaded transmittal to router within the given timeline/lead time to prevent misses on OTD as PO expiration.
• Help build a winning culture thru specialized knowledge transfers and by promoting continuous improvement during project implementation which will further translate into profitability and/or customer’s stakeholder satisfaction.
• Identifies and recommends opportunity for any Analyst or IT re-engineering initiatives to improve people capabilities and drive sustainable results for the company.
• Observes regular or as deemed necessary the updating for whatever relevant and pertinent information that may affect the integrity of the master database.

• Performs assessment on existing applicable systems, processes, and procedures if indeed such is still responsive, effective and efficient in delivering good results.
• Performs analytical evaluation concerning the behavior of orders that may tend to impact our current capabilities where such information may be utilized as a reference in revisiting the existing logistical capabilities and resources.
• Provides relevant critical information to immediate superior(s) relative to foreseen disruption on existing Distribution Network Design (Clustering of Accounts).
• Profitability & Cost Efficiency
• Ensures timely and accurate encoding and batching of orders to prevent incidences of PO expiration and lost sales due to missed processing.
• Maintains realistic lead time in batching customer orders aligned with the required delivery schedule to avoid unnecessary costs emanating from RUD, REDEL, and potential penalties to be meted out by the customer .
• Ensures that penalty accounts must be given preferential attention during planning to prevent undue cost resulting from poor service level.
• Prepare regular report and key performance measures needed during operational reviews and internal cross-functional planning and/or meeting.
• Performs other duties that may be assigned by immediate superior.
• BASIC RELATIONSHIP: Reports directly to Officer – Sales Order Management Collaborates with BU, Sales, Demand Planning, IT, CSG, Accounting, Transport Planning, and Warehouse Operations

QUALIFICATION:

• Graduate of any 4-year course OR at least has 1-2 years’ experience and exposure in Order Management as well as Logistics Operations and Distribution.
• Computer literate: Familiarity with MS Excel, MS Word, MS PowerPoint, and other optimization tools
• Language: Can speak and understand English and Tagalog
• Ability to propose system enhancements based on business needs and to translate the conceptual framework of business models into workable algorithms.
