Responsibilities

  • Process incoming purchase orders from shared inboxes, portals, and other channels.
  • Create accurate sales orders with correct customer, SKU, quantity, and delivery details.
  • Verify each source PO against entered information before processing.
  • Progress orders through stages and complete downstream fulfilment steps.
  • Maintain ownership by moving orders and messages to correct folders and workflows.
  • Confirm orders pass to fulfilment system and investigate missing or misprogressing orders.
  • Monitor orders through dispatch and delivery; update tracking as needed.
  • Complete manual order entry within two business days unless reprioritized.
  • Identify urgent or time-sensitive orders and act promptly.
  • Escalate information gaps, pricing issues, stock discrepancies, or system errors.

As part of their continued growth, they are expanding their team in the Philippines and are looking for a passionate, skilled, self-driven, and collaborative Order Management Associate to join their dynamic team.

Duties & Responsibilities:
  • Process incoming purchase orders from assigned shared inboxes, customer portals, spreadsheets and other approved order channels in the required priority order.
  • Create accurate sales orders using the correct customer and delivery location, customer reference, SKU, quantity, warehouse and delivery details.
  • Check each source purchase order against the information entered before progressing the order.
  • Progress orders through the required stages and complete the required downstream fulfilment steps as applicable.
  • Maintain clear ownership of work by moving purchase orders and related messages to the correct in-progress or completed folder and following the team's agreed workflow.
  • Confirm that orders have passed successfully from to the relevant fulfilment system and promptly investigate orders that are missing, rejected, duplicated or not progressing as expected.
  • Monitor assigned orders through dispatch and delivery, update tracking information where required, and progress completed orders in accordance with the approved process.
  • Complete manual order entry within two business days unless the order has been reprioritized or cannot proceed because of a documented issue.
  • Identify urgent, unusual or time-sensitive orders and act promptly so that they are not overlooked among higher-volume work.
  • Escalate incomplete information, pricing or stock discrepancies, system errors and any other issue that cannot be resolved independently. Do not leave an order unresolved
  • because the next step is unclear.
  • Use Microsoft Excel confidently for daily operational work, including opening and navigating large reports, applying and clearing filters, sorting data, searching for order numbers, and hiding or unhiding columns.
  • Follow current procedures and work instructions, and correct identified errors promptly.
  • Support other order-management priorities when volumes or operational requirements change, and perform other reasonable duties as assigned.
  • At least 6 months of experience in order management, sales administration, customer service, data entry, logistics, back-office operations, or a similar administrative role.
  • Experience processing customer orders, purchase orders, invoices, or other transactional documents is an advantage.
  • Strong attention to detail and a high level of accuracy when entering and checking information.
  • Good English communication skills, both written and verbal.
  • Comfortable working with multiple tasks, priorities, and deadlines in a high-volume environment.
  • Basic to intermediate proficiency in Microsoft Excel, including sorting, filtering, searching for information, and navigating large spreadsheets.
  • Able to follow established procedures, work instructions, and team workflows consistently.
  • Strong organizational and time-management skills, with the ability to monitor tasks through to completion.
  • Proactive in identifying errors, missing information, discrepancies, and potential delays, and knows when to elevate issues.
  • Reliable, accountable, and willing to take ownership of assigned orders and tasks.
  • Good problem-solving skills and the confidence to ask questions or seek clarification when the next step is unclear.
  • Positive attitude and good character, with the ability to work cooperatively and build good working relationships within the team.
  • Willing to support changing operational priorities and take on other reasonable tasks when required.
