Job Description
We are seeking a detail-oriented and customer-focused Sales Admin / Collections Officer to support the day-to-day administration of sales activities, customer accounts, invoicing, and collections for a growing commercial hygiene and facilities services business.
The role will work closely with customers, sales representatives, finance, and service/operations teams to ensure customer accounts are accurately maintained, invoices are processed and followed up, payments are collected on time, and customer requests are handled efficiently.
The ideal candidate has strong administrative and communication skills, is comfortable dealing with customers regarding outstanding balances, and can manage multiple accounts and priorities while maintaining accurate records
Key Responsibilities
Sales Administration
- Provide administrative support to the sales and account management teams.
- Process and maintain customer account information, contracts, service agreements, pricing, and related documentation.
- Prepare sales quotations, proposals, service documentation, and customer correspondence as required.
- Assist with setting up new customer accounts and ensuring all required information is complete and accurate.
- Maintain accurate customer records in CRM, ERP, or accounting systems.
- Update customer information, billing details, service requirements, and account notes.
- Monitor sales orders, service requests, and account-related activities through to completion.
- Coordinate with internal teams to ensure customer requests are actioned promptly.
- Assist with reporting on sales activity, customer accounts, outstanding orders, and other administrative requirements.
Accounts Receivable & Collections
- Monitor customer accounts and outstanding invoices.
- Conduct regular follow-ups with customers regarding overdue or outstanding payments.
- Contact customers by phone and email regarding payment status, account balances, and outstanding invoices.
- Maintain professional and positive customer relationships while pursuing timely payment.
- Investigate payment discrepancies, short payments, unapplied payments, and account queries.
- Coordinate with Finance/Accounts teams to resolve billing and payment issues.
- Record all collection activities, customer commitments, disputes, and payment updates accurately.
- Escalate significantly overdue or disputed accounts in accordance with company procedures.
- Follow up on promised payment dates and ensure commitments are appropriately documented.
- Assist with reconciliation of customer accounts and identification of outstanding balances.
- Support the preparation of aged receivables and collections reports.
Customer & Service Coordination
- Respond to customer enquiries relating to invoices, payments, services, products, and account information.
- Coordinate with operations/service teams when customer queries involve scheduled services, missed services, equipment, consumables, or service requirements.
- Assist in resolving customer concerns and ensure issues are followed through to completion.
- Maintain clear and professional communication with customers and internal stakeholders.
- Identify recurring customer concerns and elevate trends to the appropriate team.
- Support customer retention by providing timely, accurate, and professional account assistance.
Documentation & Reporting
- Maintain accurate records of customer interactions, invoices, payment commitments, disputes, and account activity.
- Ensure all sales and collections documentation is properly filed and updated.
- Prepare regular reports relating to accounts receivable, collections, customer accounts, sales administration, and outstanding actions.
- Assist with data entry, system updates, and general administrative tasks as required.
- Ensure customer and financial information is handled confidentially and accurately.
Operation Admin
- Answering customer service queries via email
- Providing service dates and updates
- Assisting with proof of service requests
- Managing job cards through your service software
- Supporting general operations administration tasks as required
Qualifications and Requirements
Required Qualifications & Experience
- 2–4 years of experience in sales administration, accounts receivable, collections, customer service, billing, or related administrative roles
- Experience handling customer accounts, invoices, payment follow-ups, or sales support
- Strong written and verbal English communication skills
- Comfortable communicating with customers via phone and email
- Strong attention to detail and accuracy
- Good organisational and time-management skills
- Ability to manage multiple accounts, tasks, and deadlines
- Proficiency in Microsoft Office, particularly Excel and Outlook
- Experience using CRM, ERP, accounting, or customer management systems is an advantage
- Experience in a B2B environment and dealing directly with business customers is highly desirable
