Job Description
We are looking for a highly organized, proactive, and dependable Executive Assistant to support the Owner/General Manager of a growing construction company. This role will provide day-to-day executive and sales support, with responsibilities spanning calendar management, CRM administration, client communication, reporting, and business development.
The ideal candidate is an excellent communicator with strong written English skills, sound judgment, and the ability to write clear, professional emails that feel natural and authentic.
Key Responsibilities
- Manage and maintain the executive’s Google Calendar, including scheduling meetings, appointments, and priorities.
- Provide administrative and organizational support to the Owner/General Manager.
- Assist with managing the executive’s inbox and drafting clear, professional clientfacing emails.
- Manage and monitor leads in HubSpot, ensuring follow-ups and sales activities are completed on time.
- Generate sales reports and maintain accurate CRM information.
- Track key follow-up tasks and help ensure sales opportunities do not fall through the cracks.
- Assist with business development and lead generation using Apollo to identify key contacts within target companies.
- Conduct structured email outreach campaigns and manage follow-up sequences.
- Research prospects and maintain accurate lead and contact information.
- Provide general support to the executive across sales, operations, and administrative priorities.
Qualifications and Requirements
- 2-4 years of experienceas an Executive Assistant
- Excellent written and verbal English communication skills.
- Strong ability to draft professional, concise, and natural-sounding emails.
- Highly organized with excellent attention to detail and follow-through.
- Comfortable working independently and managing multiple priorities.
- Experience with HubSpot or similar CRM platforms.
- Familiarity with Apollo or other lead-generation/prospecting tools.
- Strong computer skills and ability to learn new software quickly.
- Professional, dependable, proactive, and comfortable supporting a busy business owner.
