The Sales Admin provides administrative and operational support to the Sales Department to ensure smooth, accurate, and timely processing of vehicle sales transactions. The role is responsible for maintaining sales records, preparing documents, coordinating with internal departments, monitoring vehicle sales requirements, and assisting Sales Executives in the overall sales process.
Provide administrative and clerical support to the Sales Department.
Prepare, organize, and maintain sales-related documents, records, and reports.
Encode and update vehicle sales transactions, customer information, and sales activities in the company's system.
Monitor the completeness and accuracy of documents required for vehicle sales, financing, registration, release, and delivery.
Coordinate with Sales Executives regarding pending customer requirements and sales documentation.
Assist in preparing quotations, sales orders, purchase orders, delivery documents, and other sales-related paperwork.
Coordinate with Accounting and Finance regarding payments, financing documents, deposits, and other transaction requirements.
Coordinate with Service, Parts, and Logistics to facilitate vehicle preparation, accessories, release, and delivery schedules.
Monitor the status of vehicle reservations, sales orders, releases, and deliveries.
Ensure that all sales transactions are properly documented and filed for easy retrieval and audit purposes.
Prepare daily, weekly, and monthly sales reports as required by management.
Monitor pending and completed transactions and follow up with concerned personnel when necessary.
Assist in resolving documentation discrepancies and other administrative concerns related to sales transactions.
Maintain confidentiality and proper handling of customer and company information.
Ensure compliance with company policies, procedures, and documentation standards.
Perform other duties and responsibilities that may be assigned by the immediate supervisor.
Bachelor's degree in Business Administration, Marketing, Management, Accounting, or a related field.
Preferably with 1–2 years of experience in sales administration, automotive dealership operations, or a related industry.
Fresh graduates with strong administrative and organizational skills may also be considered.
Experience in the automotive industry, dealership, vehicle sales, or related field is an advantage.
Knowledge of vehicle sales documentation and dealership processes is preferred.
Proficient in Microsoft Office applications, particularly Excel and Word.
Strong attention to detail and accuracy in handling documents and data.
Good organizational, coordination, and time-management skills.
Good written and verbal communication skills.
Able to handle multiple tasks and meet deadlines.
Customer-service oriented and able to work effectively with different departments.
Trustworthy, organized, and highly responsible.
