Job summary

ScalableOS is seeking a Warranty Claims Coordinator to own the warranty claims process end-to-end, including filing with providers, PO claims in ServiceTitan, and processing vendor credits. This is a full-time, remote (offsite) position supporting the AP team and vendor communications.

The role requires AP/Procurement experience, proficiency in Outlook and Excel, familiarity with ServiceTitan or similar software, and strong attention to detail for independent, remote work with occasional night

Qualifications

Experience in Accounts Payable and/or Procurement.
In-depth knowledge of Microsoft Outlook and Excel.
Experience with ServiceTitan or similar field service management software is a plus.
Strong attention to detail and organizational skills.
Clear, professional communication with vendors and internal teams.
Comfortable working independently in a remote role.

Responsibilities

File warranty claims with company warranty providers.
Create Purchase Order claims returns in ServiceTitan.
Process all vendor credit memos received in the AP inbox.
Review job details in ServiceTitan to confirm potential warranty jobs are properly tagged.
Follow up with warranty providers on the status of warranty refunds.
Support the company AP team with vendor and brand communications regarding payment status.
Assist with vendor statement reconciliations.
