Remotee, through our sister company Recruit Sync, is seeking a highly experienced Senior EA / Head of Operations to support the founder of a growing Australian recruitment business. The role focuses on bringing structure, operational excellence, and scalable processes while working closely with the founder to manage day-to-day operations.

You will help with CRM management, client proposals, onboarding, compliance, KPI reporting, and AI-driven process improvements, acting as a trusted right hand

Qualifications

• 5+ years in executive or senior operations support roles.
• Experience with Australian recruitment agencies or professional services is preferred.
• Strong understanding of recruitment operations and workflows.
• Experience using CRM/ATS platforms (Bullhorn, JobAdder, Atlas, or similar).
• Excellent organisational and project management skills.
• Excellent written and verbal English communication.
• Experience creating client presentations, proposals, and reports.
• Confident using AI tools to boost productivity and automate workflows.
• High attention to detail and strong problem-solving.
• Proactive, resourceful, and able to work independently.

Responsibilities

• Provide high-level executive support to the founder and oversee operations.
• Prepare meeting briefs with client research and background information.
• Review and improve internal processes for efficiency.
• Gradually manage the founder's email inbox and communications.
• Assist in creating client presentations, proposals, and business docs.
• Identify and implement AI solutions to optimize workflows.
• Coordinate contractor onboarding and ensure compliance documents are complete.
• Maintain client terms and recruitment process compliance.
• Organise events, meetings, travel, and logistics.
• Conduct client outreach to generate new business opportunities.
• Improve CRM usage and support recruitment system enhancements.
• Prepare and present team KPIs and operational updates.
• Collaborate with stakeholders for smooth day-to-day operations.
