Job summary

Total Commerce is seeking an Operations & Administrative Coordinator to support day-to-day agency operations remotely. The role emphasizes internal reporting, sales and marketing coordination, and organized data management to keep initiatives on track.

The ideal candidate is highly organized, comfortable with numbers and spreadsheets, and proactive in following up with leadership. AI tools and multiple platforms will be used to streamline processes and maintain visibility across the team.

Qualifications

• 2–5 years of experience in operations, agency coordination, business operations, or similar roles.
• Exceptional organization and attention to detail.
• Strong spreadsheet skills and comfort with financial data.
• Basic understanding of revenue, budgets, margins, utilization, and P&L reporting.
• Excellent written and verbal English; comfortable using AI tools.

Responsibilities

• Prepare and maintain weekly employee utilization reporting (total hours, billable vs non-billable, by employee).
• Prepare weekly project reporting (new/active/near completion, budgets, hours, revenue).
• Maintain project-level profitability and P&L reporting; assist quarterly profitability reporting for retainer clients.
• Support monthly agency P&L and ensure internal reporting is accurate and timely.
• Maintain CRM hygiene, track outreach, and assist with prospect research and outreach drafts.
