Element Ops is seeking an Operations Specialist to bring structure to fast-moving operations, coordinate day-to-day tasks, manage work orders, and support client accounts. You’ll collaborate with leadership to align teams and improve internal processes as priorities evolve in a growing startup.

The role emphasizes ownership, exceptional communication, and the ability to translate information from multiple channels into actionable work streams, with a strong focus on operational efficiency.

Qualifications

• 3+ years in operations or related field.
• 1+ year remote/work-from-home experience.
• Startup experience preferred.
• Experience supporting multiple stakeholders and cross-functional teams.
• Exceptional attention to detail with accuracy across priorities.
• Excellent written communication with clients and teams.
• Ability to translate emails/Slack/meetings into structured, actionable work.
• Strong ownership mindset; proactive problem solving.
• Experience creating or improving SOPs and onboarding docs.
• Proficient in Google Workspace, Slack, Notion, Airtable, Asana.
• Comfort with AI tools like Claude or ChatGPT.

Responsibilities

• Create, manage, and maintain work orders in our operations platform using client emails, calls, Slack, and other channels.
• Translate complex information into clear work orders by organizing tasks, schedules, inventory, and assignments.
• Monitor active and overdue work daily and follow up with field operators to prevent delays.
• Coordinate with clients, account managers, and field operators to communicate updates and resolve issues.
• Support new client onboarding by configuring work orders, workflows, and processes in the platform.
• Prepare structured daily leadership reports highlighting priorities, active work, risks, blockers, and progress.
• Develop and maintain SOPs, onboarding guides, and knowledge base documentation.
• Identify workflow gaps and propose process improvements to scale operations.
• Take ownership of day-to-day responsibilities and adapt to changing priorities in a startup.
