Job summary

Civicom Pacific Corp. is hiring a Dispatch Coordinator to manage work orders, coordinate with vendors, managers and clients during after-hours and weekends.

You will handle calls, emails, negotiate vendor rates, recruit new vendors, and ensure ETAs and updates are communicated while maintaining a strict business continuity plan. Training starts onsite in Alabang, then transition to WFH.

Qualifications

• 2+ years BPO Voice Account experience.
• Strong written and verbal communication skills.
• Excellent organizational and time management skills.
• Ability to manage multiple work orders and prioritize tasks.
• Strong attention to detail and follow-up skills.
• Clear communication with vendors, clients, and internal teams.
• Willingness and availability to work weekends and after-hours schedules following EST.

Responsibilities

• Manage emails, phone calls, and group lines professionally and promptly.
• Coordinate with vendors, managers, and clients regarding work orders and project updates.
• Assign and dispatch work orders based on job details, previous work history, and vendor availability.
• Monitor estimated arrival times (ETAs) and follow up on delays or scheduling conflicts.
• Maintain regular communication with vendors to track job progress and resolve issues.
• Use the IVR system to record vendor check-ins and check-outs, update work order statuses, and provide client updates.
• Negotiate vendor rates, including labor and travel costs, while following budget guidelines.
• Learn about the different types of services and trades handled by the client to support effective coordination.
• Recruit new vendors to expand the available vendor network.
• Assist other Dispatch Coordinators and team members when needed.
• Attend team meetings, training sessions, and performance evaluations.
• Ensure smooth coordination and timely communication, especially during nights, weekends, and after regular business hours.
