Job summary

Headstart is seeking a highly organized ABA Scheduler to support provider scheduling operations. The role will focus on administrative scheduling, processing appointment requests, and coordinating consultations with accuracy.

You will work across Salesforce and Aloha, maintain up-to-date scheduling data, and communicate with families by text as needed. Strong detail orientation and multi-system fluency are required.

Qualifications

• Previous experience in scheduling, administration, healthcare coordination, or customer support preferred.
• Strong attention to detail and accuracy.
• Highly organized and able to manage multiple appointment requests efficiently.
• Strong written communication skills.
• Comfortable working across multiple systems and platforms.
• Able to follow established processes and workflows consistently.
• Quick to learn new scheduling platforms and client-specific workflows.
• Comfortable handling repetitive administrative tasks while maintaining accuracy and efficiency.

Responsibilities

• Receive, review, and process appointment requests promptly and accurately.
• Enter and schedule appointments in Aloha according to established workflows.
• Manage scheduling activities primarily through Salesforce and Aloha.
• Maintain accurate and up-to-date appointment and scheduling information.
• Identify missing, incomplete, or conflicting information and elevate issues when necessary.
• Coordinate with internal teams to ensure appointments are scheduled correctly.
• Follow established processes and procedures consistently.
• As the role develops, support direct family communication via text, including scheduling coordination, appointment confirmations, and updates.
