Job summary

TechLoom Global is seeking a Dispatch Coordinator to support two parallel operations—an extensive residential rental portfolio and a grocery store business. This role operates within EST business hours and requires a self-sufficient operator who can own recurring workflows end to end without constant escalation.

Qualifications

• 3–6 years of experience in a coordination, dispatch, or operations support role.
• Demonstrated experience coordinating vendors or contractors across multiple trades.
• Proven ability to manage structured multi-step confirmation and logging workflows consistently.
• Strong proficiency in Excel and Google Sheets for maintaining multiple live trackers.
• Strong written and verbal communication skills for follow-up with tenants, vendors, and store staff.
• Ability to track recurring compliance or renewal deadlines independently.
• Comfortable making approval decisions within defined dollar thresholds without escalation on routine items.

Responsibilities

• Coordinate and schedule vendors across HVAC, plumbing, electrical, refrigeration, and general handyman trades.
• Execute structured confirmation workflow at day-before, morning-of, and completion stages for every dispatch.
• Log all vendor dispatches same day across both the residential portfolio and store operations.
• Track recurring compliance renewal deadlines for lead-paint registration and rental licenses ahead of due dates.
• Maintain and update multiple Excel or Google Sheets trackers covering properties, contractors, and maintenance schedules.
• Conduct written and verbal follow-up with tenants, vendors, and store staff to confirm work status and next steps.
• Approve or route repair requests independently within pre-set dollar thresholds without escalating routine decisions.
• Document SOPs for each recurring workflow within the first 30 days of engagement.
