Job summary

Outsourcey in the Philippines seeks an experienced travel and project administration professional to support Australian client projects. You will manage end-to-end travel, track credentials, and coordinate inductions with accuracy.

You will liaise with travel suppliers, maintain compliance registers, and escalate issues to HSEQ and project managers, contributing to a compliant, efficient mobilization for premier engineering and construction initiatives.

Qualifications

• 2–4 years in project administration, travel coordination, or compliance support.
• Experience supporting FIFO logistics, onboarding, or site mobilisation.
• Strong knowledge of Australian health, safety, and compliance standards.
• Experience with compliance portals (HammerTech, Donesafe, CM3, Avetta, Rapid Global).
• Advanced MS Office skills.
• Excellent written and verbal communication with a customer-service mindset.
• Meticulous with competing priorities and deadlines.

Responsibilities

• End-to-end travel management including flight, accommodation, and vehicle hire bookings.
• Track and maintain personnel credentials (medicals, high risk licenses, trade qualifications, VOCs).
• Coordinate client and site inductions with accurate training records across platforms.
• Audit and track subcontractor compliance documents (Public Liability, Workers’ Compensation, Professional Indemnity).
• Maintain mobilization and compliance registers and pre-empt deadlines.
• Prepare clear travel itineraries and communicate schedule updates to PMs, travelers, and site managers.
• Escalate compliance gaps or non-conformances to HSEQ, Procurement, or Project Managers.
• Liaise with external travel suppliers, accommodation vendors, and subcontractors to resolve operational queries.

Profile Requirements:

• Min 2–4 years of experience in project administration, travel coordination, or compliance support for Australian clients
• Proven background supporting FIFO logistics, personnel onboarding, or site mobilisation
• Strong understanding of Australian health, safety, and compliance tracking standards
• Experience navigating compliance and contractor portals (e.g., HammerTech, Donesafe, CM3, Avetta, Rapid Global)
• Advanced proficiency in Microsoft Office suite (Outlook, Excel, Word, Teams)
• Exceptional written and verbal communication with a customer-service mindset
• Meticulous attention to detail and ability to manage competing priorities under tight deadlines

Core Responsibilities:

• End-to-end travel management, including flight, accommodation, and vehicle hire bookings, as well as handling emergency re-bookings
• Track and maintain personnel credentials, including medicals, High Risk Work Licenses, trade qualifications, and VOCs
• Coordinate client and site inductions, ensuring accurate training records across internal and client platforms
• Audit, verify, and track subcontractor compliance documentation, including Public Liability, Workers’ Compensation, and Professional Indemnity insurances
• Maintain mobilization and compliance registers, proactively identifying missing or expiring paperwork ahead of deadlines
• Prepare clear travel itineraries and communicate schedule updates to Project Managers, travelers, and site managers
• Escalate compliance gaps or non-conformances to HSEQ, Procurement, or Project Managers when required
• Liaise with external travel suppliers, accommodation vendors, and subcontractors to resolve operational queries
