Private Advertiser in the Philippines is seeking an experienced Procurement Specialist to supervise daily purchasing activities and coordinate with suppliers on quotations, orders, and delivery schedules.
The role emphasizes negotiation, supplier management, and accuracy in documentation, with responsibilities spanning purchase orders, canvass sheets, reporting, and coordination with Finance, Warehouse, and Operations. A senior buyer or supervisory background is preferred.
Assist in supervising daily procurement and purchasing activities.
Coordinate with suppliers regarding quotations, orders, delivery schedules, and product availability.
Prepare and review purchase requests, purchase orders, canvass sheets, and other procurement documents.
Request and evaluate supplier quotations based on price, quality, availability, and delivery terms.
Monitor outstanding purchase orders and follow up on delayed or incomplete deliveries.
Maintain accurate procurement records, supplier files, and purchasing reports.
Assist in identifying and evaluating potential suppliers.
Negotiate with suppliers on pricing, payment terms, delivery schedules, and other commercial conditions when authorized.
Coordinate with Finance, Warehouse, Operations, and other departments regarding purchasing requirements.
Monitor inventory levels and coordinate replenishment based on operational requirements.
Ensure procurement activities comply with company policies, approval procedures, and budget requirements.
Assist in resolving supplier issues, including discrepancies, damaged goods, and delivery problems.
Prepare regular procurement reports and provide updates to management.
Help train and guide procurement staff on purchasing procedures and documentation.
Perform other procurement-related duties assigned by management.
At least 3–4 years of experience in procurement, purchasing, or supply chain operations.
Previous experience in a senior buyer, procurement specialist, or supervisory role is preferred.
Experience in supplier negotiation, quotation analysis, purchase orders, and procurement documentation.
Good knowledge of purchasing and procurement procedures.
Strong negotiation and supplier-management skills.

Excellent communication and interpersonal skills.
Strong attention to detail and accuracy.
Ability to monitor multiple purchase orders and deadlines.
Proficient in Microsoft Office, particularly Excel; experience with ERP or purchasing systems is an advantage.
