Job Description
Payroll Processing
  1. Process monthly payroll for employees and consultants, including salary calculations, overtime, bonuses, allowances, deductions, and final pay.
  2. Ensure accurate and timely payment of salaries through bank transfers and other methods.
  3. Maintain accurate payroll records and documentation.
  4. Reconcile payroll data with timesheets and attendance records.
  5. Process consultant fees based on agreed‑upon contracts and invoices.
  6. Track consultant payments and ensure proper documentation.
  7. Manage and process government‑mandated benefits, including SSS, PhilHealth, Pag-IBIG, and taxes.
  8. Ensure timely and accurate remittance of contributions.
Reimbursements and Advances
  1. Process employee and consultant reimbursements for business‑related expenses.
  2. Manage cash advances and ensure timely liquidation.
Loans and Allowances
  1. Administer employee loans and track repayments.
  2. Process allowance liquidations and ensure compliance with company policies.
Other Compensation and Benefits
  1. Administer and process other compensation and benefits transactions, such as leave encashment, retirement plans, and healthcare benefits.
HRIS System
  1. Utilize the company’s HRIS System for payroll‑related data entry, processing, and reporting.
  2. Generate and distribute payslips through the system.
  3. Ensure data integrity within the HRIS system.
Compliance and Reporting
  1. Maintain the highest level of confidentiality regarding all employee and payroll information.
  2. Stay up‑to‑date on all relevant payroll legislation and ensure compliance with statutory requirements.
  3. Generate and submit accurate payroll reports to government agencies and internal stakeholders.
  4. Maintain accurate payroll records and documentation.
  5. Prepare and file the necessary tax certificates (e.g., BIR Form 2316).
  6. Maintain accurate employee tax certificates and other payroll‑related documentation.
  7. Respond to employee inquiries regarding payroll matters.
  8. Assist with internal and external audits related to payroll.
  9. Contribute to the continuous improvement of payroll processes.
  10. Other duties as assigned.
QUALIFICATION AND COMPETENCY REQUIREMENTS
Minimum Education and Experience
  1. Preferably with a bachelor’s degree in accounting, finance, or a related field.
  2. Proven experience (minimum [Number] years) as a Payroll Specialist, preferably in a Philippine setting.
  3. Experience with processing payroll for both employees and consultants.
Knowledge
  1. Strong understanding of Philippine payroll laws and regulations.
Skills
  1. Proficiency in using HRIS Systems for payroll processing.
  2. Proficiency in using QuickBooks for journal entries.
  3. Excellent attention to detail and accuracy.
