The Payroll and Billing Specialist role is an integral part of the Corporate Services team. This role is dedicated to supporting the Corporate Services team in ensuring accurate and timely processing of employee payroll and benefits across all entities.
Ensure all timesheets, payroll updates, expense reimbursements, records, and other related materials are received prior to payroll run close-off.
Ensure all leave requests have been approved and accurately included in the payroll run.
Complete all key weekly or fortnightly payroll functions and procedures in a timely manner including termination pays.
Provide the Payroll and Billing Manager with regular updates on payroll-related issues.
Liaise with Payroll Software Client Support to resolve any system-related issues.
Ensure compliance with all relevant statutory and legislative requirements, including the timely processing of PAYG, payroll tax, and superannuation payments.
Set up public holidays in the payroll system.
Manage and resolve employee pay-related inquiries.
Update the payroll system in line with legislative requirements (e.g., superannuation percentage changes).
Submit or export various reports and information as required.
Activate employee payroll files and create individual employee records upon commencement of employment, where applicable.
Maintain accurate manual and electronic records for employee pay, personal details, leave balances, and other related information.
Ensure completion of all required statutory documentation (e.g., bank details, Tax File Number Declaration, and superannuation information) within specified timeframes.
Maintain strict confidentiality and ensure the security of all employee documentation
Perform payroll reconciliations in accordance with month-end and year-end requirements.
Reconcile payroll deductions on a monthly and annual basis.
Prepare and reconcile superannuation contributions in line with legislative obligations.
Process Single Touch Payroll (STP) submissions following the finalisation of each pay run.
Assist in the preparation and reconciliation of year-end STP submissions.
Maintain payroll records in accordance with statutory and regulatory requirements.
Provide relevant reports to Management and other departments as required
Interpret and apply relevant industry awards and applicable industrial instruments.
Maintain up-to-date knowledge of all awards and agreements in use across the organisation.
Provide accurate advice to employees regarding pay and conditions in accordance with their industrial entitlements.
Comply with all Workplace Health and Safety (WH&S) policies and procedures and promptly report any deviations or incidents.
Liaise with the Payroll Manager or General Manager regarding candidates’ WorkCover claims and coordinate wage payments as required.
Check and update client profiles as needed, including company details and applicable rate cards.
Generate and verify invoices for all timesheets and permanent placements after each billing run.
Create manual invoices as required and manage invoice disputes through credit notes and re-issues.
Manage and resolve client invoice inquiries
Provide the Payroll and Billing Manager with regular updates on relevant billing matters
Provide corporate services and administrative support as required.
Perform clerical and other related duties as needed.
Participate in weekly or monthly meetings as scheduled by Management.
Maintain proficiency in payroll systems through ongoing internal and external training.
Handle all payroll and human resources activities with the strictest confidentiality.
Provide advice, assistance, and support on key human resources processes and activities.
Perform any other duties reasonably required for the role or as directed by Management.
Demonstrated experience in payroll and/or administrative functions
Proven ability to work effectively as part of a team
Strong self-management skills and the ability to meet deadlines
Proven ability to maintain a high level of confidentiality
High level of computing and data entry proficiency
Effective written and verbal communication skills
Strong attention to detail with the ability to identify and resolve problems
High level of accuracy and consistency in work
Solid understanding and knowledge of Australian payroll legislation and multiple Australian award interpretations
Desirable: Advanced excel and word experience, relevant qualifications in Payroll/Human Resources Management, or relevant qualifications in accounting/bookkeeping.
