The Payroll & Benefits Assistant provides administrative and operational support to the Payroll
and Benefits team by assisting in payroll processing, benefits administration, employee records
management, statutory compliance, employee inquiries, and HR systems maintenance. The role
ensures accurate and timely execution of payroll and benefits activities while delivering
excellent employee service.
Key Responsibilities:
- Company Loans Administration - Process employee loan applications, validate requirements, and coordinate approvals. Maintain loan records and ensure accurate payroll deduction setup and monitoring. Reconcile loan balances and resolve employee inquiries related to loan repayments.
- Final Pay Processing - Process end-to-end final pay computations for separated employees. Validate clearance status, applicable deductions, and final pay components including unpaid salary, leave conversion, and statutory requirements. Coordinate with stakeholders to ensure timely and accurate release of final pay.
- Employee Services & Support - Respond to employee inquiries related to payroll, benefits, payslips, statutory deductions, and employee records. Assist employees in understanding payroll computations, deductions, government contributions, and company benefits. Ensure timely resolution or escalation of employee concerns. Maintain professional and customer-focused service standards when handling employee requests.
- HRIS and Employee Data Management - Maintain accurate and up-to-date employee records in HR systems. Ensure integrity and confidentiality of employee information. Generate reports and validate employee data for payroll and benefits processing.
- Compliance, Controls, and Reporting - Ensure compliance with labor regulations, tax laws, and statutory requirements. Support internal and external audit requirements by providing documentation and reports. Assist in payroll and benefits reconciliations and validations. Maintain documentation of processes, controls, and standard operating procedures.
- Continuous Improvement - Identify process improvement opportunities to enhance payroll and benefits administration. Participate in testing, implementation, and enhancement of HR and payroll systems. Support projects and initiatives related to payroll, benefits, and employee experience.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field.
- At least 2 years of experience in payroll, compensation and benefits, or HR operations.
- Experience in company loans administration, final pay processing, and payroll reconciliation.
- Exposure to expatriate payroll or global mobility support is an advantage.
- Working knowledge of Philippine payroll regulations, taxation, and statutory benefits.
- Proficient in Microsoft Excel and payroll/HR systems.
- Strong attention to detail, analytical skills, and ability to handle confidential information.
