Set, rebook, and coordinate patient appointments across the practice calendar
Send appointment confirmations and reminders, and follow up on unconfirmed or missed appointments
Verify insurance eligibility and benefits ahead of patient visits and record coverage details accurately
Hold and update patient records and documentation so files stay complete, accurate, and current
Field inbound patient calls, emails, and messages, replying promptly and professionally
Carry out outbound patient outreach for confirmations, follow-ups, and information requests
Steer recall lists and reach out proactively to patients who are due for return visits or follow-up care
Track and follow up on incomplete documentation, missing information, and pending verifications
Supply general administrative and operational support so daily practice workflows keep running smoothly
Pass clinical questions and unusual cases to the appropriate team member rather than settling them yourself
Proven history in patient scheduling, appointment coordination, or medical front-office administration
Practical history with insurance eligibility and benefits verification
Proficiency with electronic medical or health record systems (EMR/EHR) and practice management software
Excellent spoken and written English with a clear, professional, patient-facing phone manner
Strong grasp of patient confidentiality and careful handling of sensitive information
High level of accuracy across data entry and documentation
At ease making a high volume of outbound calls and follow-ups
Dependable, precise, and able to work under your own steam
Strong communication and follow-through skills
Familiarity with HIPAA requirements and compliant handling of patient data
Working knowledge of medical terminology and common insurance and billing terms
History with prior authorizations or claims follow-up
Prior history backing a US-based healthcare, dental, or specialty practice
History steering recall or patient reactivation campaigns
Capacity to keep several priorities running at once in a fast-moving setting
