Job summary

optiBPO in Clark, Pampanga is seeking an Order Entry Associate to manage the ordering activity with accuracy and timeliness. You will enter customer purchase orders, coordinate with inventory and operations, and communicate shipment plans to customers in a professional manner.

The ideal candidate has strong English communication, experience with ERP/CRM, and 2–3 years in finance or data entry. This is an on-site role with opportunities for growth within an international client portfolio.

Qualifications

• Excellent verbal and written English communication skills.
• Strong understanding of finance systems, principles, and processes.
• Experience working with suppliers and customers to resolve order-related issues.
• Experience working with Western companies (preferred).
• Experience in order entry, customer service, sales support, or administrative coordination.
• Bachelor's degree in Business Administration. 2–3 years of experience in a finance or data entry role.

Responsibilities

• Receive customer purchase orders and accurately enter them into the order management system.
• Review orders for completeness and resolve any missing, unclear, or conflicting information.
• Prepare and send order acknowledgements, confirming order details and expected shipment dates.
• Coordinate with inventory, operations, and customer experience teams to confirm product availability and shipment readiness.
• Help ensure orders are processed and shipped within the required turnaround time when inventory is available.
• Identify product shortages, inventory constraints, and potential delivery risks, and work with internal teams to find suitable alternatives or solutions.
• Communicate shipment schedules, delays, changes, and resolution plans to customers in a timely and professional manner.
