Job summary

optiBPO, based in Clark, Pampanga, seeks an Order Entry Associate for US shift operations. You will manage customer purchase orders, ensure accurate entry, and coordinate with inventory and operations to confirm product availability and shipment readiness.

This role requires strong English communication, finance systems knowledge, and experience with order management. A Bachelor’s degree in Business Administration and 2–3 years in finance/data entry are preferred.

Qualifications

• Excellent verbal and written English communication skills.
• Strong understanding of finance systems, principles, and processes.
• Experience working with suppliers and customers to resolve order-related issues.
• Experience working with Western companies (preferred).
• Experience in order entry, customer service, sales support, or administrative coordination.
• Bachelor’s degree, preferably in Business Administration.
• 2–3 years of experience in a finance or data entry role.

Responsibilities

• Receive customer purchase orders and accurately enter them into the order management system.
• Review orders for completeness and resolve any missing, unclear, or conflicting information.
• Prepare and send order acknowledgements, confirming order details and expected shipment dates.
• Coordinate with inventory, operations, and customer experience teams to confirm product availability and shipment readiness.
• Help ensure orders are processed and shipped within the required turnaround time when inventory is available.
• Identify product shortages, inventory constraints, and potential delivery risks, and work with internal teams to find suitable alternatives or solutions.
• Communicate shipment schedules, delays, changes, and resolution plans to customers in a timely and professional manner.
• Partner with the Customer Experience Lead to identify, eliminate, and resolve order exceptions.
