Job description

We are a fast-growing personal care and wellness brand with a growing global retail footprint across Australia, the USA, Canada, the UK, Saudi Arabia, and other international markets. We're looking for a highly organised and detail-oriented Operations Coordinator / Sales Operations Support to sit at the centre of Sales, Supply Chain, logistics, customers, and 3PL partners.

The role will focus primarily on the day-to-day execution of customer orders across international markets — ensuring orders are entered correctly, warehouse requirements are met, delivery issues are resolved, and the Sales team has the information and administrative support needed to service customers effectively.

Work Structure & Requirements

• Location: Remote / Virtual
• Schedule: Full-time
• Time Zone: Strong overlap with Australian business hours preferred
• Compensation: 8 USD per hour

Key Responsibilities

• Manage customer orders from receipt through warehouse release, dispatch, delivery, and proof of delivery
• Process and review orders received through SPS Commerce, EDI, and other customer channels
• Enter and maintain orders accurately within Unleashed and relevant internal systems
• Ensure customer-specific requirements, documentation, pricing, SKUs, quantities, and delivery details are correct
• Maintain visibility of open orders and proactively flag delays, shortages, or fulfilment risks

2. 3PL & Logistics Coordination

• Coordinate across multiple 3PL partners and help support the launch of additional international warehouse locations
• Follow up on lost stock, shortages, missing deliveries, warehouse errors, and other fulfilment issues
• Maintain stock-on-hand reporting and support inventory visibility across regional warehouses
• Work with 3PLs and internal teams to drive operational issues through to resolution
• Support the Sales team with customer setup, new line forms, account opening documentation, and retailer onboarding
• Complete detailed retailer and distributor forms, including large and complex account documentation
• Maintain accurate customer master data, pricing, SKUs, UPCs/EANs, case configurations, and freight terms
• Provide Sales with accurate inventory, order, and delivery information for customer meetings and launches
• Support new market, retailer, and distributor launches from an operational perspective

4. Customer & Administrative Support

• Help resolve customer complaints, order issues, and delivery discrepancies
• Maintain accurate internal trackers, reports, and documentation
• Support operational communication between Sales, Supply Chain, Finance, customers, and logistics partners
• Assist with ad hoc reporting and operational analysis as required

Required Skills & Experience

• Experience: 3+ years in CPG operations, sales operations, logistics, customer fulfilment, or order management
• International Operations: Strong experience working with 3PLs, retailers, distributors, and international customer accounts across multiple markets
• Order Management Systems: Experience with EDI, SPS Commerce, or similar order management platforms; experience with Unleashed or a similar ERP/inventory management system is strongly preferred
• Excel: Advanced Excel skills are essential — confident working with complex spreadsheets and customer documentation
• Retailer Documentation: Comfortable completing detailed retailer setup forms, new line form, and operational documentation
• Communication: Strong written and spoken English; strong numerical ability and exceptional attention to detail
• AI Tools: Comfortable using AI tools to improve efficiency, reporting, and administrative workflows
• Profile: Highly organised, proactive, and able to manage multiple markets and stakeholders simultaneously; strong problem‑solving skills with the ability to resolve issues rather than simply escal ate them; operates confidently in a high-volume environment and keeps a close eye on detail across orders, stock, documentation, and customer requirements
