Job summary

D2b in the Philippines is seeking an Operations Coordinator to join our team. You will report to the Head of Operations and collaborate with customer service, commercial teams, and warehouses to keep multi-region operations running smoothly.

The role covers Retail & Wholesale Operations and Warehouse & Inventory Management, with responsibilities from order entry and invoicing to KPI tracking and stock level control across markets. A strong Excel toolkit and Cin7/EDI experience are highly valued.

Qualifications

• Minimum 3 years of experience in an operations, supply chain, or logistics coordination role in FMCG/retail/eCommerce.
• Experience managing B2B or wholesale order workflows end-to-end: order entry, invoicing, fulfilment across channels.
• Experience managing inventory across multiple SKUs and markets with stock discrepancy risk mitigation.
• Experience coordinating with third-party warehouses/3PL partners for product setup and KPI tracking.
• Advanced Microsoft Excel proficiency including pivot tables, VLOOKUP/XLOOKUP, and data validation.
• Experience with Cin7 is a strong plus.
• Experience with EDI ordering is a strong plus.
• Excellent communication and stakeholder relationship management.
• Strong organizational ability and flexibility to reprioritize.

Responsibilities

• Retail & Wholesale Operations: Check stock against incoming orders and flag gaps to internal teams.
• Own the end-to-end order confirmation workflow from entry to on-time delivery.
• Process and issue invoices against POs, meeting month-end deadlines.
• Assist in setting up logistics and systems for new wholesale partners.
• Maintain the Operations Handbook as processes evolve.
• Support Operations and Customer Service with ad hoc tasks and projects.
• Warehouse & Inventory Management: Liaise with warehouses for product setup, briefs, promotions, and activations.
• Track fulfilment against KPIs for online orders.
• Oversee stock levels across markets and top up to avoid stockouts.
• Coordinate product dispatches for influencers, samples, and PR.
• Manage work orders for new/existing SKUs and support lifecycle from launch to discontinuation.

ABOUT THE ROLE

We're looking for an Operations Coordinator to join our team, reporting into the Head of Operations and partnering closely with departments across the business — from customer service to commercial teams. This is a hands-on role for someone who thrives on keeping complex, multi-region operations running smoothly.

What You'll Do

Retail & Wholesale Operations

• Check stock availability against incoming B2B and wholesale orders, flagging any gaps to the relevant internal teams
• Own the order confirmation workflow end-to-end — from sales order entry through to on-time, in-full delivery
• Process and issue invoices against Purchase Orders, staying on top of month-end deadlines
• Help set up logistics and systems for new wholesale partners coming on board
• Keep the Operations Handbook current as processes evolve
• Jump in wherever needed to support Operations and Customer Service with ad hoc tasks and projects

Warehouse & Inventory Management

• Act as the main point of contact with warehouses for new product setup, launch briefs, promotions, and activations
• Track order fulfilment against agreed KPIs for online orders
• Oversee stock levels for Bali Body bundles across all markets, proactively topping up to avoid stockouts and building new kitting guides as needed
• Coordinate product dispatches for influencers, retail samples, and PR
• Manage work orders for both new and existing SKUs
• Support the broader product lifecycle process from launch through to discontinuation

Requirements

• Minimum 3 years of experience in an operations, supply chain, or logistics coordination role — ideally within an FMCG, retail, or eCommerce environment
• Proven experience managing B2B or wholesale order workflows end-to-end, including order entry, invoicing, and fulfilment tracking across multiple channels or markets
• Demonstrated experience managing inventory across multiple SKUs and markets, with a track record of identifying and resolving stock discrepancy or stockout risks before they escalated
• Experience coordinating with third-party warehouse or 3PL partners, including product setup, work orders, and fulfilment KPI tracking
• Advanced Microsoft Excel proficiency — must be comfortable building and maintaining spreadsheets for inventory tracking, reporting, and reconciliation (pivot tables, VLOOKUPs/XLOOKUPs, and data validation as a baseline)
• Experience with Cin7 is a strong plus
• Experience with EDI ordering is a strong plus
• Excellent communication skills and a track record of managing relationships across stakeholders
