Job Summary: We are looking for a reliable, organized, and highly proactive Office Manager to oversee our day-to-day office and administrative operations. The role is responsible for ensuring that office activities, purchasing, inventory, company assets, and assigned projects are properly coordinated and completed efficiently.
The ideal candidate is someone who can work independently, manage multiple priorities, solve operational issues, and keep accurate records while coordinating with management, employees, suppliers, and other stakeholders.
Office & Administrative Operations
Oversee the daily operations of the office and ensure smooth and efficient workflow.
Coordinate administrative requirements and ensure tasks are completed on time.
Maintain organized office records, documents, and operational files.
Coordinate with different departments to address administrative and operational requirements.
Project Management & Execution
Manage and coordinate assigned company projects from planning through completion.
Monitor project timelines, requirements, budgets, and deliverables.
Coordinate with employees, suppliers, contractors, and other stakeholders as needed.
Identify operational issues and ensure timely resolution.
Warehouse & Inventory Management
Oversee inventory levels, stock movement, storage, and issuance of company supplies and materials.
Maintain accurate inventory records and conduct regular inventory checks.
Ensure proper organization and control of warehouse and storage areas.
Monitor stock levels and coordinate replenishment when necessary.
Purchasing & Supplier Coordination
Handle purchasing of office supplies, operational materials, equipment, and other company requirements.
Coordinate with suppliers regarding quotations, orders, deliveries, and follow-ups.
Compare suppliers and quotations to support cost-effective purchasing decisions.
Ensure materials and supplies are procured within required timelines.
Asset & Documentation Management
Maintain accurate records of company equipment, assets, supplies, and other operational resources.
Monitor asset issuance, transfers, returns, and accountability.
Maintain project documents, purchase records, inventory reports, and other operational documentation.
Prepare regular reports for management when required.
Cost & Budget Management
Monitor office and operational expenses.
Track purchases and ensure expenses remain within approved budgets.
Identify opportunities to reduce unnecessary costs without compromising operations.
Ensure proper documentation and approval of company expenses.
Compliance, Safety & Company Policies
Ensure compliance with company policies and established operating procedures.
Help maintain a safe, organized, and professional workplace.
Monitor proper implementation of office, warehouse, and operational procedures.
Assist management in ensuring compliance with applicable workplace and regulatory requirements.
Bachelor's degree in Business Administration, Management, Operations Management, or a related field preferred.
At least 2–3 years of experience in office administration, operations, purchasing, inventory, or a similar managerial/supervisory role.
Strong organizational and time-management skills.
Good communication and coordination skills.
Proficient in Microsoft Office / Google Workspace, particularly Excel or Google Sheets.
Experience with purchasing, inventory monitoring, supplier coordination, and administrative documentation is an advantage.
Strong attention to detail and ability to maintain accurate records.
Ability to handle multiple tasks and priorities with minimal supervision.
Proactive, resourceful, and capable of solving day-to-day operational problems.
Willing to take a hands-on approach to office and operational requirements.
