Senior Workforce Scheduling Specialist
The Senior Workforce Scheduling Specialist is responsible for advanced workforce scheduling, staffing coordination and timekeeping support that helps ensure appropriate clinical coverage and operational efficiency across healthcare departments.
Operating within a Global Business Services environment, this role serves as a subject matter expert for scheduling processes, supports onboarding and coaching of team members and collaborates with U.S.-based healthcare leaders to optimize staffing schedules, improve workforce utilization and maintain timecard accuracy.
Serve as a subject matter expert for workforce scheduling and timekeeping processes
Support onboarding, coaching and development of scheduling team members
Resolve complex scheduling, workforce management and system-related issues
Partner with scheduling leadership and department leaders to support staffing decisions and workforce planning
Develop and maintain standard operating procedures, training materials and process documentation
Review and audit schedules within workforce management systems to ensure compliance with organizational policies and staffing requirements
Support complex and high-priority scheduling requests across assigned departments
Collaborate with department managers to build accurate daily, weekly and shift schedules based on staffing forecasts
Review schedule requests including paid time off, shift preferences and schedule changes in accordance with established guidelines
Balance and publish schedules to ensure appropriate staffing coverage and operational efficiency
Assign specialty roles based on department requirements, certifications and skill mix standards
Monitor staffing vacancies and support proactive shift posting strategies to reduce staffing gaps
Maintain schedule accuracy within workforce management systems based on census, acuity and budget considerations
Prepare and distribute staffing, scheduling and workforce management reports
Review employee timecards, identify discrepancies and ensure compliance with payroll and attendance policies
Support continuous improvement initiatives that enhance scheduling accuracy and workforce efficiency
Assist with training and adoption of scheduling technology and workforce management tools
Required Qualifications
Bachelor’s degree in business administration, Data Management or a related field
3+ years of experience using workforce management, staffing or scheduling software
Experience managing complex workforce schedules and staffing requirements
Strong analytical, organizational and problem-solving skills
Excellent communication and stakeholder management skills
Ability to work effectively with cross-functional and international teams
High attention to detail and commitment to data accuracy
Preferred Qualifications
Experience supporting healthcare workforce scheduling operations
Experience in shared services, business process outsourcing or Global Business Services environment
Knowledge of workforce planning, staffing optimization and timekeeping processes
Experience developing training materials and supporting employee onboarding
Certifications
UKG Workforce Management Certification (UKG) preferred upon hire and required within 12 months of hire
