The Centralized SchedulingSpecialistsupport schedule development and optimizationfor designated departments. This role focuses on creating, balancing, andmaintainingschedules in advance to ensureappropriate coverage, skill mix, and operational efficiency. The coordinator partners closely with department managers to forecast staffing needs, manage self-scheduling, and prepare schedules that minimize last-minute staffing gaps. This role ensures timecard accuracy and application of approved pay practices and policies.
Creates and edits schedules for ResourceOptimizationCenter (ROC)supported departments in the electronic scheduling systemin accordance withhospital policies, procedures, and guidelines.
Collaboratewith department managers to prepareaccuratedaily, weekly, and shift schedulesthat reflect forecasted staffing needs.
Reviews, approves, or denies schedule requests (PTO, changes, preferences)in accordance withestablished guidelines and leadership direction, communicating outcomes to leaders asappropriate.
Balances andpublishesschedules at the conclusion of self-scheduling periods to ensureappropriate coverageand efficiency.
Assigns specialty rolesbased on established staffing guidelines and approved skill-mix standards.
Determinesvacancy rates by role and department; posts incentive shiftsin accordance withministry policy to proactively addressanticipatedgaps.
Maintainsdepartment schedules within the electronic staffing system,ensuringaccuratedaily coverageandopenshift needs torecruitadditionalpersonnel based on projected census, acuity, and budget considerations.
Preparestaffing and scheduling reports anddistributethem to appropriate leaders as directed.
Reviews andmaintainstimecards for accuracy per policy, accounting for required hours per employment status, resolves discrepancies, approves or denies requests, and prepares timecards for manager review prior to pay period close.
Attend staffing meetings/trainings andparticipatein continuous improvement efforts.Providesbasic guidance on scheduling systems as needed.
