About the role
This is a medical receptionist/admin assistant position at a dermatology and medical spa clinic. You will be the first point of contact for patients, managing their experience from arrival through departure while supporting the clinical and administrative operations of the practice.
Key responsibilities
Greet patients warmly upon arrival, manage the check-in/check-out process, and maintain a pristine, welcoming front desk and waiting area
Answer inquiries via phone, email, and text
Efficiently manage the appointment calendar to maximize clinic flow for dermatologists and aestheticians
Process payments, handle daily cash drops, manage billing invoices, and explain treatment pricing or package options confidently to patients
Maintain accurate electronic medical records (EMR), intake digital intake forms, and assist with filing, scanning, and general office organization
Help manage the medical-grade skincare retail display, restock products, and handle basic sales transactions for departing patients
About you
Minimum of one year of experience in a receptionist, administrative, or high-end hospitality role
Experience in a medical spa, clinic, dermatology office, or luxury salon is highly preferred
Experience with Electronic Medical Records (EMR) software, scheduling apps, or POS systems (e.g., Zenoti, Mindbody, Jane, Boulevard) is a major plus
Exceptional verbal and written communication skills with highly professional telephone etiquette and bedside manner
Strong multitasking skills with the ability to remain calm, organized, and gracious under pressure during peak clinic hours
Basic understanding of patient privacy regulations (HIPAA compliance) or a willingness to be trained
