Role Summary

The Carrier Operations Specialist is responsible for managing carrier relationships, booking loads, onboarding third-party transportation providers, and ensuring the seamless execution of in-transit freight. This role balances strategic procurement with real-time operational execution to ensure cost-effective, timely, and reliable service.

Key Responsibilities

1. Carrier Onboarding & Relationship Management Assist with vetting third-party carriers and set them up within the RMIS platform. Maintain and grow carrier communication and relationships, understanding their operational capabilities, freight needs, and service areas. Serve as the primary operational contact for carrier inquiries and resolve or forward additional requests to carrier sales reps when necessary.
2. Load Booking & Negotiation Book carriers on assigned loads while ensuring full coverage requirements are met. Utilize strong negotiation skills to ensure the business receives the most cost-effective logistics solutions.
3. In-Transit Tracking & Daily Operations Contact carriers for daily tracking of in-transit shipments and update the TMS system accordingly. Ensure carriers are aware of their appointment times or delivery windows at shippers and receivers. Determine carrier ETAs for pickup and delivery, immediately communicating any concerns or delays to appropriate contacts.
4. Issue Resolution & Financial Processing Effectively resolve operational issues as they arise, escalating when necessary. Approve and issue EFS advances for third-party carriers to handle lumper and late fees. Retrieve Proof of Delivery (POD) documents from third-party carriers promptly upon delivery. Ensure timely reporting and processing of accessorial charges.
5. Operational Excellence & Team Collaboration Ability to work well independently with minimal supervision, as well as part of a team. Consistently follow existing processes, develop new processes, and maintain required operational standards. Cross-train with other operations representatives on each other's areas of responsibility as assigned by management.

Qualifications and Requirements

Experience: 1 to 3+ years of experience in freight brokerage, carrier coordination, dispatching, or logistics operations.
Systems Knowledge: Hands-on experience with TMS platforms, RMIS carrier vetting, and EFS payment setup.
Negotiation & Communication: Exceptional verbal communication skills paired with strong rate negotiation abilities.
Problem Solving: Exceptional customer service focus with a strong drive to resolve issues independently under pressure. Organization: Strong organizational and scheduling skills with strict attention to detail.
