Job summary

iScale Solutions in the Philippines seeks a Logistics and Missions Officer to support project implementation from our Mutualized Office. You will coordinate missions, travel, events, and office purchases, reporting to the Procurement and Grants Manager while collaborating with project teams and external suppliers.

The role requires 2–3 years in logistics or related work, with strong English communication and data filing skills.

Qualifications

• Bachelor's degree in logistics, administration, or a related field.
• 2–3 years of relevant experience in logistics, travel or mission coordination, event organisation, administration or project support.
• English proficiency; French is an advantage; strong written and spoken communication.

Responsibilities

• Coordinate travel, accommodation, transfers and mission documentation for experts, project teams and authorised participants.
• Organise workshops, trainings, meetings, field visits and events, including venues, catering, transport, equipment and on-site support.
• Serve as the logistics contact for experts and project teams; communicate arrangements and resolve operational issues.
• Collect, verify, file and archive invoices, bookings, attendance sheets, travel records and other documents for payment, audits and reporting.
• Support simple logistics and office purchases by obtaining quotations, coordinating suppliers, tracking deliveries and maintaining supplier records.
• Coordinate with procurement, finance and project teams to ensure budget alignment, procedural compliance and complete documentation.
• Maintain mission calendars, event trackers, purchase records and filing systems; contribute to reports and process improvements.
