About the role
The Legal Assistant / Business Registration Officer is responsible for providing legal administrative, corporate registration, regulatory compliance, and document management support to the Firm, its Partners/Principals, and its clients. The position shall facilitate business registrations and corporate changes before relevant government agencies, assist in preparing and reviewing legal and business documents, monitor statutory permits and licenses, and serve as the Firm's custodian and controller of legal and corporate records.
Key responsibilities
- Serve as the Firm's Business Registration Officer and coordinate business registration and regulatory transactions for clients
- Process the incorporation, registration, amendment, restructuring, and closure/dissolution of businesses
- Prepare, process, submit, and monitor applications and supporting documents with relevant government agencies, including the SEC, DTI, BIR, Local Government Units, and other regulatory agencies
- Assist clients in securing, renewing, amending, and cancelling business permits, licenses, registrations, and related regulatory requirements
- Assist the Firm in the preparation and processing of legal and corporate documents for clients, including affidavits, certifications, board and partnership resolutions, secretary's certificates, contracts, agreements, authorities, undertakings, and other supporting documents
- Conduct preliminary review of documents for completeness, consistency, proper formatting, and compliance with documentary requirements
- Coordinate notarization, authentication, certification, filing, and release of legal documents when required
- Maintain confidentiality of all client, legal, corporate, and regulatory information handled by the Firm
- Act as the Partnership's Legal Document Controller and Custodian and establish and maintain an organized physical and electronic filing system for contracts, registrations, permits, licenses, certificates, government correspondence, partnership documents, and other legal records
- Liaise and coordinate with government agencies, clients, notaries public, external legal counsel, and other authorized third parties concerning registrations, filings, permits, and documentary requirements
About you
- Bachelor's degree in Legal Management, Political Science, Business Administration, Office Administration, Accounting, or a related field
- Previous experience in corporate registration, legal assistance, compliance, corporate secretarial work, or government processing is preferred
- Familiarity with SEC, DTI, BIR, LGU, and other government registration and licensing procedures is an advantage
- Strong written and verbal communication skills
- Excellent document preparation, proofreading, filing, and records-management skills
- Highly organized, detail-oriented, and capable of monitoring multiple deadlines simultaneously
- Demonstrates integrity, discretion, professionalism, and strict confidentiality
- Proficient in Microsoft Office, Google Workspace, PDF/document management, and online government registration platforms
