We are seeking a detail-oriented Legal Admin Assistant with legal experience to provide behind-the-scenes administrative support to a UK law firm. This role supports the firm’s solicitors with client onboarding paperwork, billing, document management, and content administration, while maintaining strict compliance with regulatory requirements. This is a non-client-facing role.
Key Responsibilities:
Onboarding Administration
- Prepare onboarding documentation for new clients based on information provided by the firm
- Check and accurately record client documentation, identification, and forms received
- Set up new client matters on the firm’s case management system
- Prepare letters of engagement in line with the firm’s templates and procedures
- Prepare client invoices accurately and on time
- Submit all letters of engagement and invoices to the supervising solicitor for review and approval
- Issue approved invoices and documents through the firm’s systems as instructed
Documentation & Compliance
- Maintain accurate, complete, and current records within the firm’s case management system
- Receive documents from other law firms and file them correctly on the firm’s systems
- Support compliance with anti-money laundering (AML) regulations, statutory obligations, and firm policies
- Organize and manage compliance documentation to ensure audit readiness
Content Administration
- Support content administration tasks, such as preparing, formatting, and uploading content for the firm’s website, blog, or other channels
Internal Coordination
- Attend a daily morning catch-up with the supervising solicitor to review priorities and tasks
- Coordinate with the firm’s team to keep matters and records up to date
- Track outstanding documents and tasks and flag follow-ups to the team
Research (Future Responsibility)
- Conduct research tasks as assigned as the role develops
Reporting
- Contribute to weekly performance updates and monthly consolidated reports
- Participate in quarterly review sessions to support continuous improvement initiatives
Required Qualifications:
- Previous experience in a legal environment, such as a law firm, legal admin, or paralegal role
- Excellent written English and strong attention to detail
- Experience with case management systems or CRM platforms
- Experience preparing legal documents, engagement letters, or invoices
- Strong organizational skills and ability to manage multiple tasks accurately
- Understanding of AML and compliance requirements (preferred)
- Familiarity with UK legal processes or terminology (preferred)
- Availability for a daily morning catch-up aligned with UK business hours
