The Qualifications We Seek
Required Qualifications
- At least 1 to 2 years of experience in scheduling, administration, operations, data entry, workforce coordination, or a similar role
- Proficiency in using software systems, online platforms, and structured workflows
- Strong attention to detail and accuracy when following instructions
- Ability to work independently and complete repetitive, process-driven tasks consistently
- Strong organizational and time-management skills
- Proficiency in working with reports, spreadsheets, and system-generated information
- Ability to manage multiple tasks while meeting established deadlines
- Strong written communication skills
- Ability and willingness to learn and follow new tools, processes, and workflows
Preferred Qualifications
- Previous experience in scheduling, workforce management, resource allocation, or operations support
- Experience with scheduling, workforce management, rostering, or care management software
- Experience with holiday, leave, or availability management
- Experience in a highly structured or process-driven environment
- Familiarity with Microsoft Excel, Google Sheets, or similar reporting tools
Your Daily Tasks
- Run scheduled system reports and upload the required information into the scheduling tool every Monday
- Review and execute allocation actions recommended by the scheduling tool according to specified instructions and required timelines
- Adjust schedules within the system based on the scheduling tool's recommended actions
- Apply templates according to the recommendations and instructions provided by the scheduling tool
- Review holiday requests and approve or decline them based on the scheduling tool's recommendations and established processes
- Complete all required actions generated by the scheduling tool accurately and promptly
- Monitor assigned tasks and maintain accurate records of completed actions
- Identify unclear, incomplete, or conflicting system instructions and elevate them to the appropriate team member when necessary
- Follow established scheduling processes, guidelines, and quality standards
- Maintain a high level of accuracy when entering, updating, and managing information within the system
